The part-time Administrative Assistant will support Rail-Werx two days per week or more, as required, and the ideal candidate will bring sharp analytical skills, a passion for accuracy, and the ability to thrive in a dynamic environment where no day is the same.
This role is crucial for supporting our operation and ensuring smooth administrative processes. The ideal candidate will contribute significantly to our mission of providing exceptional service in the rail industry.
Responsibilities:
- Maintain the inventory of all training manuals and supplies needed for training package preparation.
- Liaise with the print/copy supplier to ensure sufficient lead time for printing and delivery of manuals.
- Coordinate with instructors and trainers for training package pickup and booking training rooms at the required locations.
- Set up and take down of training materials for open enrollment courses (open to the public).
- Responsible for providing instructors, trainers, and students support during training courses.
- ISNet monthly statistics; assist Health & Safety regarding ISNet requirements.
- Represents Rail-Werx on the Safety Committee, attending meetings, taking minutes and distributing as required, assisting with emergency preparedness drills such as fire and shelter in place.
- Other duties as may be assigned or required.
Qualifications
- Previous administrative or office support experience, preferably in a training, safety, or industrial environment.
- Demonstrated organization, multi-tasking, and planning skills to distribute communications and ensure timely dispatch of resources.
- Ability to coordinate amongst various stakeholder groups, such as training instructors, auditors, and clients, including industrial railways.
- Experience adapting to changing priorities and learning new procedures, processes, and systems.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and experience with software such as Adobe Acrobat Pro, and programs like Canva, or database systems like ISNet and SAGE 300.
- Excellent verbal and written communication skills for liaising with instructors, vendors, and internal teams.
- Ability to work independently with minimal supervision, exercising discretion with sensitive information.
- Comfortable setting up and handling physical training materials and equipment.
- Knowledge of basic health and safety practices is an asset.
- Valid class 5 driver's license and reliable transportation.
