We are seeking an Sales Administrative Assistant who will play a pivotal role in supporting our sales team and leadership. This role ensures that our sales engine runs at peak performance by managing CRM oversight, KPI tracking, commission and incentive reporting, and the administrative functions that allow our sales professionals to stay focused on what they do best—building relationships and driving revenue.

Key Responsibilities
Sales Team Enablement & Support
- CRM & Pipeline Oversight: Monitor sales activity, ensuring data integrity and accuracy across leads, opportunities, and client interactions.
- KPI Tracking & Reporting: Compile and distribute weekly sales performance reports (calls, meetings, referrals, conversions) to keep leadership and reps aligned.
- Sales Meeting Prep: Anticipate needs and prepare agendas, performance summaries, and supporting materials for sales leadership and team meetings.
- Incentive & Commission Management: Track and manage incentive structures and commission reporting to maintain trust and motivation among the sales team.
- Rapid Response: Provide after-hours support for inbound calls and inquiries, ensuring the sales team never loses momentum.
- Sales Material Coordination: Prepare care plans, order marketing materials, and support campaign execution to keep reps armed with the right tools.
Leadership & Administrative Support
- Manage executive calendars,and meeting coordination
- Facilitate leadership communications and ensure alignment between sales, operations, and ownership.
- Review and approve expenses in accordance with company policy.
- Identify and resolve billing, reporting, or metrics inconsistencies before they impact operations.
- Maintain confidentiality while handling sensitive business and financial information.
Qualifications
- Minimum 5 years of Administrative Assistant, Sales Coordinator, or Sales Operations experience.
- Strong technical aptitude, including proficiency in CRM platforms, Microsoft Office Suite, Google Workspace, and advanced Excel/Google Sheets.
- Proven ability to prioritize competing demands and manage multiple streams of work at once.
- Strong understanding of sales processes, metrics, and incentive structures.
- Excellent communication skills, both written and verbal, with the ability to interact effectively at all organizational levels.
- Demonstrated ability to anticipate needs, solve problems, and deliver results under tight timelines.
- Comfortable working with confidential information and exercising discretion.
