We are looking for an experienced Receptionist to join our Wentworth campus (JK-Grade 7).As the “Director of First Impressions”, the Receptionist is responsible for delivering the highest level of customer service in a professional and positive manner. The role also oversees the natural flow and efficiency of the office, manages multiple projects and delivers clear communication to faculty, staff, parents and guests.
We are hiring for a Temporary Contract position from August 22, 2025 to June 30, 2026, with the possibility of moving into a Permanent position.
Responsibilities
Reception & Guest Services:
- Welcome and assist faculty, staff, parents, and guests to the building.
- Respond to general inquiries over phone, e-mail, and in person.
- Manage active switchboard (answer phones and voicemails, respond to and direct calls accordingly).
- Monitor all sign-in/sign-out procedures for students, staff, faculty, and visitors at the school.
- Manage meeting room bookings.
- Organize reserved guest parking signage.
- Maintain out of hours, holidays telephone forwarding message system.
- Manage, maintain files and reference documents using Microsoft Office and G Suite.
- Manage day to day student attendance: check attendance emails and input notes to student attendance files, follow up with parents and staff on unexcused absences, and complete the year-end Ministry Audit each year.
- Work with Human Resources to manage and maintain a volunteer database for all Wentworth Volunteers.
- Maintain manifests for all school trips and follow up when necessary.
- Maintain emergency preparedness documents.
- Maintain building emergency protocols, supplies, and kits held at reception.
- Other seasonal related duties which may include distribution of yearbooks, accepting cheques from parents, etc.
- Additional duties as required.
- Work with IT on the Visitor Management System.
- Order school supplies for the beginning of each school year as well as stationery supplies as needed throughout the school year.
- Update and maintain classroom signage.
- Liaison to Maintenance and cleaning staff for urgent requests.
- Coordinate all incoming and outgoing inter-office mail.
- Work with the Transportation Manager to facilitate school bus ticket sales and float.
- Maintain the cleanliness and order of the lost and found area and organize for parent volunteers to display and donate items.
- Diploma of Certificate in related area an asset i.e. Office Administration, Business
- 1-3 years office/clerical experience
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Certification in Office Management or proficiency in Microsoft Office Suite including Word, Excel and PowerPoint
- G Suite Certification or proficiency in G Suite productivity tools including Gmail, Drive, Docs, Sheets, Forms and Slides
- Canadian residency and legally entitled to work in Canada
- Ability to multitask and handle multiple demands
- Ability to streamline processes is an asset

This position works during the school year only (with summers off) with three weeks’ vacation over the winter break, and two weeks' vacation during the spring break, in addition to other statutory and school holidays.
The annual hiring range for this contract position is from $42,673 to $48,000. Candidates with strong skills and experience may be considered for a higher starting salary.
