Brief Job Description
The Receptionist/Administrative Assistant reports directly to the President and Operations Manager. He or she is responsible for providing office support in order to ensure efficient and effective operation of the front office duties.
RESPONSIBILITIES & ACCOUNTABILITIES:
- Greet visitors, and direct them to the appropriate individual.
- Receive, calls, messages, faxes, mail and couriers.
- Answer a multi-line switchboard in a friendly and courteous manner, relaying information or transferring calls to appropriate individuals.
- Set up conference calls and book boardrooms as required.
- Schedule appointments and prep for meetings.
- Able to maintain basic accounting ledgers ( Excel, Word).
- Maintain cleanliness of front office and showroom area.
- Sort incoming mail/faxes and distribute to the appropriate individuals
- Create and organize purchase orders for manufacturing suppliers and track packing list.
- Prepare commercial invoices for accounting.
- Maintain office supplies and manage replenishments.
- Other duties may be assigned.
Basic Requirements:
- High level of attention to detail.
- High level of computer proficiency.
- Must be punctual and reliable.
- Neat, courteous and presentable.
- Must be a self-motivated learner who strives for success

- Schedule (9am – 5-pm)
