Receptionist / Administration
Are you organized, welcoming, and great with numbers? We’re looking for an enthusiastic Receptionist & Accounts Receivable Coordinator to join our team!
About the Role:
We are seeking someone who is organized, welcoming, and great with numbers to join our team. As the first point of contact with our office, you’ll make a lasting impression on visitors and callers, while supporting core business functions. Your primary responsibilities include reception, office administration, accounts receivable, and order processing.
Key Responsibilities:
- Greeting visitors and direct them to the appropriate team member
- Answer and route incoming calls professionally
- Processing incoming mail, emails, and website inquiries
- Maintain accurate customer information and database
- Review sales order details, process payments, create customs documents, and generate packing slips for the shipping department
- Provide order entry support to the sales team as needed
- Prepare bank deposits and balance daily transaction reports
- Combine supporting documents and reviewing order details for accuracy followed by generating invoices once goods have shipped
- Administer accounts receivable, including all collections and follow up communications on overdue accounts
- Assist with accounts payable and general data entry
- Keep files organized and up to date
- Tackle other administrative duties as needed
What We’re Looking For:
- Minimum 2 years’ experience in a similar or related role
- Certificate or diploma in office administration, bookkeeping or accounting
- Professional, customer service-oriented attitude
- Strong communication, organizational, and time management skills
- Proficiency with computers, including Microsoft Office and accounting software
- Experience with Spire Systems is an asset
- You must have your own vehicle
Working Conditions:
- Monday-Friday, 8 hours/day between 8am-4:30pm
- 30-minute unpaid lunch break, two paid 15-minute breaks
- Shared open concept office
- Benefits 50% paid by the company after 3 months
