Program Operations & Administrative Officer


The Multilingual, Immersions & Community Art Programs within the College of Arts and Science offers non-credit programming all year round to children, youth & adults with new offerings every season in art and various languages. This unit is dynamic, community-focused and cost-recovery.

Primary Purpose: The Program Operations and Administrative Officer provides operational, logistical, and administrative support to the Multilingual, Immersions & Community Art Programs within the College of Arts and Science. This role is instrumental in ensuring the smooth delivery of non-credit programs through course setup, instructor contracting, student record management, facility bookings, and stakeholder communications. The incumbent works in a dynamic, community-focused, and cost-recovery environment and collaborates closely with instructors, students, parents, and staff.

Nature of Work: This position functions within a team-based environment under the general direction of the Program Coordinator. It requires a high level of independence, attention to detail, initiative, and problem-solving ability. The role involves managing sensitive student and instructor information and requires discretion and sound judgment. The incumbent must demonstrate flexibility in responding to shifting deadlines, program schedules, and stakeholder needs.

Typical Duties or Accountabilities:
Program and System Administration
Build and configure non-credit course sections in the registration database.
Set up instructor records and manage class rosters, refunds, transfers, and course status updates.
Input final course completions and distribute student progress reports for language classes.

Contract and Instructor Support
Draft and issue contracts for instructors and camp counsellors upon class confirmation.
Prepare and distribute evaluation tools and attendance sheets to instructors.
Collect and process instructor submissions at course completion.

Facilities and Scheduling
Reserve appropriate instructional and program spaces (e.g., classrooms, studios, gyms, meeting rooms).
Manage schedule adjustments and communicate changes to instructors and students.

Student and Stakeholder Communications
Send pre-class and ongoing communications to student groups regarding class start dates, schedule/venue changes, cancellations, and Zoom links for online classes.
Act as the main point of contact for instructor, parent, and student inquiries related to class logistics and program operations.

Program Development and Review
Participate in ongoing review of programming and operations in consultation with instructors, students, parents, camp counsellors, and the Program Coordinator.
Contribute administrative and operational insights to improve programming efficiency and student experience.

Education & Experience:
Completion of a post-secondary certificate or diploma in administration, education, arts programming, or a related field.
A minimum of five (5) years of directly related experience in program coordination, student services, or community education.
Experience working in a cost-recovery or entrepreneurial environment is considered an asset.
Experience using student registration systems (e.g., Destiny One, Banner, or similar) is strongly preferred.

Teamwork and Collaboration: Strong interpersonal skills with the ability to work respectfully and productively in a team environment with diverse stakeholders.
Attention to Detail: Proven accuracy in data entry, record keeping, and contract management.
Adaptability: Ability to respond to frequent changes in programming, schedules, and priorities with flexibility and professionalism.
Communication: Excellent written and verbal communication skills for composing clear and professional messages to students, instructors, and colleagues.
Customer Service Orientation: Responsive and courteous support to instructors, students, and parents, ensuring positive program experiences.
