Summary
We are seeking an Assistant to the Chief Operating Officer to join our dynamic team at Barrantes & Associates Inc. This role is essential in supporting our COO in daily operations, ensuring efficient administrative processes, and contributing to our mission of enhancing the lives of those we serve.
Responsibilities
- Administrative Support & Scheduling: Assist the Executive Director with scheduling meetings, preparing agendas and taking meeting minutes.
- Marketing & Research: Research into new services, conduct market research, investigate market gaps and research competitors.
- Workflow Analysis: Examine workflow processes and look at system/flow creation.
- Reports: Prepare documents, reports, and presentations as needed.
- Finance & Budgets: Assist with expense and budget tracking for office, residential and community tracking systems.
- Prepare Associate mileage totals to assist payroll functions
- Content Creation: Create social media posts on and assist with company website design.
- Support meeting planning, company events and annual conferences.
- Confidentiality & Discretion: Maintain strict confidentiality of company, client, and employee information, ensuring compliance with company policies and applicable laws.
- Other: Other tasks as required.
Requirements
- Proven experience in an administrative role or similar position.
- Strong organizational skills with attention to detail.
- Experience with Canva, Monday.com and google is a plus.
- Excellent communication skills, both written and verbal.
- Familiarity with QuickBooks is a plus but not mandatory.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Ability to handle sensitive information ethically.
- Proficient in Microsoft Office Suite, particularly Outlook Calendar and data entry tasks.
