POSITION SUMMARY
Responsible for supervising the ongoing development and improvement of the Volunteer Program(including student volunteers) within Long Term Care and Seniors Services. This position supervises the daily duties of the Simcoe Strong Volunteer Program, including recruitment, orientation, training, coaching, scheduling and indicator performance evaluation based on the needs of each individual program/site while meeting the needs of the volunteers.
This position coordinates the post secondary student placement and high school co-operative education placements including preceptor identification, facilitation of training and provision of ongoing support. This position also serves as the communication lead with educational institutions, students, preceptors and LTCSS operations departments responsible for the monitoring or student progress and feedback across the various agencies/departments
DUTIES AND RESPONSIBILITIES (not listed in order of priority)
Volunteers:
1. Promote the Simcoe Strong Volunteer Program. This includes cold calls, emails, promotion posters, social media.
2. Maintain County of Simcoe Volunteer Program website.
3. Develop and maintain budget for the program including purchasing of supplies.
4. Provide assistance with and leadership in the development of the Resident Ambassador program within Seniors Servies.
5. Attend community events in municipalities of each of the sites, where promotion of the Volunteer Program is possible.
6. Attend secondary school career days and provide promotional materials to guidance counsellor at area schools in order to promote volunteer opportunities for students.
7. Recruit, select and place volunteers in meaningful roles based on their needs and interests, as well as those of the Program/site.
8. Facilitate orientation and training sessions for new volunteers.
9. Develop and facilitate ongoing and annual education of the volunteers.
10. Maintain documentation for the Simcoe Strong Volunteer Program including development and review of relevant policies and procedures as well as volunteer job descriptions.
11. Maintain and improve electronic communications (Volunteer Software) information gathering, scheduling and hours tracking.
12. Create, prepare, and maintain volunteer schedules, reports, and records.
13. Complete evaluations with volunteers. Work with the interdisciplinary team during volunteer challenges and coaching.
14. Work with support departments to create marketing materials to promote the Simcoe Strong Volunteer Program.
15. Plan appreciation and retention events for all volunteers.
16. Comply with provincial and County occupational health and safety legislation, regulations, policies and procedures.
17. Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act.
18. Regular communication with the Program and Support Services departments.
Students
1. Develop and maintain student onboarding process and related materials, including orientation schedules, training modules, and informational resources, for the Long Term Care and Senior Services Division.
2. Facilitate the sourcing and development of new student opportunities and programs. Incumbent will scan the sector for emerging opportunities, act as a representative on external committees, and coordinate external applications as needed (e.g., data sharing and affiliation agreements with educational institutions).
3. Develop and coordinate the Student Preceptorship Program for students from diverse educational backgrounds. Ensure that both preceptors and students understand their roles and the employer's expectations, implementing feedback mechanisms to promote the recruitment and retention of top candidates to serve our community.
4. Work with internal and external partners such as, educational institutions, hospitals, Human Resources, and the Operational Leadership team, to support the coordination, integration, and success of quality student placements.
5. Develops surveys, audits, and other information gathering tools/methodologies required for program evaluation; interprets and qualifies/quantifies results and applies outcomes/best practices, assists with annual work plan development.
6. Identifies learning needs, develops objectives, conducts audits, and creates a positive learning environment.
7. Attend secondary school career days and provide promotional materials to guidance counsellor at area schools in order to promote co-op, the personal support worker program and volunteer opportunities for students.
8. Perform other duties as assigned, including redeployment in emergency situations.
9. Comply with provincial and County occupational health and safety legislation, regulations, policies and procedures.
10. Maintain confidentiality and privacy of information as per The Municipal Freedom of Information Protection and Privacy Act (MFIPPA), The Personal Health Information Protection Act (PHIPA), Personal Information and Electronic Documents Act (PIPEDA) and in accordance with County of Simcoe Policies and Procedures.
EDUCATION, TECHNICAL SKILLS AND CERTIFICATION
- A diploma or degree in Health Sciences, Business Administration, or a related field is required. This job may be considered for educational equivalency in accordance with County Policy.
- Certification or coursework in LEAN, Six Sigma, and/or project management is considered an asset.
- Strong ability to establish and maintain good working relationships with staff, other departments, allied agencies, and the general public.
- Knowledge of the basic principles of record keeping and file management.
- Proficient in developing, implementing, delivering, and evaluating programs and services in the assigned program area.
- Strong mentoring and leadership capabilities.
- Working knowledge of QA (Quality Assurance), CQI (Continuous Quality Improvement), and other statistical measurement tools and processes is preferred.
- Excellent problem solving and instructional/presentation skills.
- Excellent written and verbal communication, interpersonal and organizational skills.
- Proficiency with various computer software applications, including database management, presentation software, spreadsheet, and word processing applications.
- A valid Ontario G class driver’s license and access to a reliable vehicle.
- Criminal Records Check with Vulnerable Sector Screening that is less than six (6) months old at time of hire
- As a condition of employment, candidates are required to submit documented results of TB testing, as per Public Health requirements
EXPERIENCE
- A minimum of five (5) years’ related experience, including one (1) year program management, and/or coordinator experience, required.
- Long Term Care related experience is preferred.
- Experience with program/process delivery, evaluation, and design is preferred.
EFFORT
- Visual and mental effort required when preparing reports and developing programs.
WORKING CONDITIONS
- Regular office environment, with some days working in a long term care home environment.
- Ability to work remotely if required.
