Description
We are seeking a highly organized and detail-oriented individual to join our team as Office Manager; this is a 1-year maternity leave coverage role with the possibility of a further contract extension. As an Office Manager, you will assist our other office staff, including principals and project managers, delegate tasks to the existing administrative assistant, and play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include, but are not limited to: entering data, managing files, providing administrative support, ordering materials, assisting with invoicing, and various office tasks. The ideal candidate will have excellent organizational skills, strong attention to detail, the ability to multitask effectively, and prioritize their workload.
Responsibilities
-Oversee and coordinate office administrative procedures. Review, evaluate, and implement new procedures as needed
-Establish work priorities, delegate tasks to the existing administrative assistant, provide guidance and direction to the team when needed, and ensure deadlines are met
-Preparing and issuing precise bi-weekly invoices to clients, maintaining accurate billing records, creating transaction journals and Excel budget reports, handling billing queries, and ensuring timely payment processing of accounts payable
-Ensure the flow of correspondence and information internally. Provide clear communications through departments, having one-on-one conversations with principals, project managers, and the administrative assistant
-Help with coordinating construction projects; client selections, sourcing materials, ordering materials from suppliers, arranging delivery of materials, scheduling, and help obtain sub-trade quotes
- Performing a multitude of data entry tasks and updating databases
-Organizing and maintaining physical and electronic files
- Assisting with special projects as assigned
Requirements
- Exceptional organizational skills with the ability to prioritize tasks and delegate effectively
-Strong attention to detail; data entry precision, accuracy, and thoroughness
-Ability to multitask in a fast-paced environment, showing adaptability and prioritizing in an ever-changing environment
-Strong computer skills including Microsoft Office suite (Outlook, Word, Excel) with the ability to accurately type 40 words per minute
- Excellent file management skills, both physical and electronic
-Proficiency in QuickBooks and other accounting software (preferred)
- Previous experience in an administrative role (required)
- Knowledge of Builder Trend is a plus
- Exceptional customer service and interpersonal skills
-Ability to think critically and exercise good judgment
