Job Summary
The Manager, Outreach and Engagement Initiatives is responsible for the planning, implementation, and evaluation of professional development conferences, virtual learning activities, and departmental engagement initiatives aimed at supporting Orthopaedic surgeons. With a province wide focus, this role manages all aspects of project/program execution—from design and budgeting to sponsorship, stakeholder communication, and post-event or activity analysis—ensuring alignment with accreditation standards and department goals. Working closely with faculty and staff, the incumbent ensures high-quality, innovative programming across in-person, hybrid, and virtual formats. They also drive business development efforts with a focus on revenue generation and partnership development. As a member of the department’s leadership team, the Manager, Outreach and Engagement Initiatives plays a key role in faculty development and CPD/CME operations, contributing to advancing the Department’s mission, vision, and faculty development goals.

Organizational Status
The UBC Department of Orthopaedics has an international reputation for excellence in teaching, research and patient care. Our mission is to create knowledge, advance learning, and improve musculoskeletal health for the community at the provincial, national, and international levels. The Department consists of seven clinical divisions and a division of orthopaedic research, and comprises 200+ academic and clinical faculty who contribute to advancing knowledge in clinical orthopaedics, musculoskeletal science as well as applied biomedical engineering and related basic science areas. This focus allows the Department to be at the forefront of exciting new developments in the areas of minimally invasive joint replacement, improved bone healing, advanced techniques in spinal surgery, innovative arthroscopic techniques, and improved biomaterials and implants.
This position reports to the Administrative Manager. The Manager, Outreach and Engagement Initiatives may take general direction from Faculty leads, Associate Head of Education, Associate Head of Health Engagement, and the Department Head and will work closely with departmental staff/faculty/students, UBC CPD, and external partners.

Work Performed
Project and Program Management
  • Leads the development and execution of a comprehensive outreach and engagement strategy in alignment with departmental and institutional goals in collaboration with faculty leads.
  • Identifies trends and opportunities to innovate educational content and delivery across live, hybrid, and online formats.
  • Develops and disseminates standards, policies, and procedures related to program quality and delivery. Develops key metrics and evaluations data to monitor progress.
  • Provides leadership to project planning and implementation across all professional development and faculty engagement initiatives (e.g. courses, learning sessions, training events, etc.) using established project management methodologies.
  • Oversees all logistics, timelines, deliverables, and risk management processes to ensure successful program execution.
  • Implements standardized project workflows and tools; oversees registration systems, schedules, communications, and event documentation.
  • Establishes and manages timelines, milestones, deliverables, and risk mitigation strategies using professional project management methodologies.
  • Develops and maintains SOPs, registration platforms, planning tools, and workflows to ensure consistency and excellence in delivery.
  • Leads and facilitates planning committees and collaborative working groups.
  • Supervises, trains, and supports a team of staff, ensuring efficient coordination and successful execution of projects.
  • Develops, manages, and monitors operating budgets for assigned projects.
  • Oversees financial forecasting, cost control, and reconciliation for events and projects.
Conferences and Events
  • Manages large-scale education events, including in-person, virtual, and hybrid delivery formats. Responsible for end-to-end event planning and execution.
  • Manages vendor relationships, contracts, production planning, and technical integration for events.
  • Leads post-event evaluation, financial reconciliation, and strategic reporting.
  • Acts as signing authority for all activities under the education events portfolio
  • Aligns content and delivery with accreditation standards, quality assurance expectations, and best practices in adult learning.
  • Ensures timely reconciliation of post-event expenses and performance evaluations.
  • Tracks key performance indicators and uses data to inform continuous improvement and strategic planning.
  • Ensures timely reporting of outcomes to internal stakeholders, sponsors, and accrediting bodies.
Business Development and Partnerships
  • Leads business development and revenue generation by identifying new opportunities such as fee-based programs, online offerings, grants, and partnerships to ensure long-term financial sustainability of CPD programming
  • Leads sponsorship development and fundraising efforts. Responsible for prospect research, proposal development, contract negotiation, and relationship management with sponsors and funding partners
  • Develops strategic financial framework, overseeing pricing models, sponsorship packages, and compliance with financial reporting standards.
  • Leads and facilitates planning and advisory committees for events and outreach initiatives.
  • Acts as the primary liaison between the department and stakeholders, including regulatory colleges, professional bodies, and academic partners.
  • Builds relationships and acts as a liaison with external medical associations, regulatory colleges, funding bodies, and academic partners.
  • Promotes the visibility and reputation of the Department within the university and the wider Orthopaedic community.
  • Develops and maintains policies and procedures to support consistent, high-quality program development, delivery, evaluation, and accreditation.
  • Leads accreditation and compliance efforts, ensuring integration across programs and adherence to legal, ethical, and institutional standards.
  • Contributes to institutional policy development, advancing continuing education and professional learning initiatives at a strategic level.
  • Performs other duties as required.

Consequence of Error/Judgement
The incumbent is responsible for ensuring the smooth day-to-day operation of all outreach and engagement initiatives within the education portfolio in the Department. The position must exercise considerable judgment and initiative in decision making, including resolving issues not clearly covered by established guidelines. Errors in judgement or failure to work cooperatively with stakeholders will impact program development, reputation, and quality.
Lack of tact, diplomacy, or sensitivity when dealing with program partners could potentially result in missed opportunities, damaged relationships, and loss of credibility for the Department. Poor planning could result in loss of time, productivity, and failure to operate the program sustainably or achieve program objectives. Inadequate lack of consultation and planning could adversely affect the viability of the program or compromise program funding.

Supervision Received
Works independently against set objectives. Reports to the Administrative Manager and will take direction and guidance from Faculty leads, Associate Head of Education, Associate Head of Health Engagement, and the Department Head.

Supervision Given
Oversees the work of staff assigned to project teams. Trains and supervises student employees.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
  • Strong knowledge of accreditation requirements, including compliance with standards set by the Royal College of Physicians and Surgeons of Canada (RCPSC)
  • Proven experience in developing and managing conferences and educational programming with a strong understanding of effective instructional design principles in various CME/CPD learning contexts.
  • Formal training in project or program management and evaluation is considered an asset.
  • Exceptional communication and problem-solving skills to ensure a positive experience for all stakeholders.
  • Proficiency in Microsoft Office programs, particularly Excel, with demonstrated expertise in utilizing information technologies and communication tools to support event and program delivery.
  • Strong verbal and written communication abilities, with a capacity to analyze issues, identify critical information, and implement effective solutions.
  • Skilled in training, supervising, and motivating staff, with the ability to assign tasks, monitor progress, and manage performance through feedback and corrective action.
  • Skilled at building partnerships and securing external support through sponsorship and funding.
  • Knowledge of adult learning principles, instructional design, and educational technology platforms.
  • Demonstrated tact, discretion, initiative, and sound judgment in managing complex situations.
  • Effective both independently and collaboratively, with the flexibility to work extended or irregular hours as required.
  • Strong financial acumen and experience with budget development, forecasting, and financial management and reporting.
  • Excellent negotiation, and stakeholder engagement abilities.
  • Strong organizational skills, including the ability to triage inquiries, prioritize tasks, and manage multiple deadlines in a high-pressure environment.
