We are seeking a professional and friendly Receptionist to join our dynamic real estate development and property management team. The Receptionist will serve as the first point of contact for clients, tenants, vendors, and visitors, providing exceptional customer service and administrative support. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to managing front desk operations in a fast-paced environment.
Key Responsibilities:
- Greet and welcome visitors, clients, and vendors in a professional and courteous manner.
- Answer, screen, and direct incoming phone calls and emails to appropriate staff members.
- Manage the front desk, ensuring a clean, organized, and professional reception area.
- Handle inquiries related to property management, leasing, and development projects, escalating complex issues to the appropriate team members.
- Schedule and coordinate appointments, meetings, and property tours for staff and clients.
- Process incoming and outgoing mail, packages, and deliveries.
- Maintain and update contact lists, tenant records, and other administrative databases.
- Assist with administrative tasks, including data entry, filing, and document preparation for real estate transactions/functions or property management activities.
- Coordinate with property management teams to address tenant requests or concerns promptly.
- Support marketing efforts by preparing materials for open houses, property listings, client presentations or new projects.
- Monitor and order office supplies, ensuring the office is well-stocked and operational.
- Assist with event planning for company or property-related events, such as tenant appreciation days or project groundbreaking ceremonies.
- Perform other clerical duties as assigned to support the smooth operation of the office.
Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree/diploma in business administration or related field is a plus.
- 1-2 years of experience in a receptionist, administrative, or customer service role (experience in real estate or property management preferred).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with property management software (e.g., Yardi) is a plus.
- Professional demeanor and ability to handle sensitive or confidential information.
- Customer-focused attitude with the ability to build positive relationships with clients, tenants, and team members.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of real estate or property management terminology and processes is an advantage.
Working Conditions:
- Full-time position, Monday through Friday.
