POSITION SUMMARY

Reporting to the FCSS Assistant Manager, this position oversees coordination and supervision of the Hinton Kids for Success (HKFS) and Discovery Camp (DC) summer programs. This position will: provide direction and leadership; ensure the safety and well-being of children; maintain licensing and accreditation standards; and ensure policies and procedures are understood and adhered to by staff. This position works closely with other municipal staff, community organizations, the HKFS Parent Advisory Council, and customers.

WORK RESPONSIBILITIES

Staff Supervision

• Provide direction and leadership to the HKFS and DC Teams
• Assist in staff hiring by reviewing job ads, resumes, conducting interviews, and training new staff
• Develop a training plan and ensure all staff receive adequate training
• Set performance standards and conduct performance reviews for the HKFS and DC Teams
• Mentor and encourage all staff members in the delivery of quality childcare programming that meets or exceeds all expected standards
• Ensure that the HKFS and DC Teams understand their responsibilities to prepare and serve food to the children in the program according to the Service Plan
• Ensure that the HKFS and DC Teams understand their responsibilities to deliver developmentally appropriate programs
• Seek input from the HKFS and DC Teams that adheres to policies and procedures of HKFS and DC
• Proactively identify and solve problems and areas of concern for staff in collaboration with the Childcare Programs Coordinator
• Monitor employee productivity and provide constructive feedback and coaching
• Report major staff issues to the FCSS Assistant Manager
• Schedule work hours and shifts
• Set goals for performance and deadlines in ways that comply with HKFS plans and visions and communicate them to staff
• Organize workflow and ensure that employees understand their duties or delegated tasks
• Pass on information from upper management to employees and vice versa
• Conduct regular team and individual meetings with staff

Safety

• Be knowledgeable of OH&S requirements to maintain those standards
• Ensure that the HKFS and DC Teams understand their responsibilities for appropriate responses to emergencies
• Ensure the safety and welfare of each child and staff
• Report all minor and major accidents, problems and disturbances, incidents, and site damage to the FCSS Assistant Manager, and ensure all appropriate forms are filled out accurately and completely
• Conduct regular monthly fire evacuation and other drills with the children in accordance with established policies
• Hold the position of Reception Centre Manager within the Emergency Social Services team under the Municipal Emergency Management plan for the Town of Hinton

Licensing and Accreditation

• Ensure quality childcare programming and oversee the implementation of licensing and accreditation standards
• Ensure annual updates and regular site visits are completed
• Be responsible for maintaining licensing and accreditation standards for the program including:
• Ensuring that program plans and activities are completed according to these standards;
• Completing reports for licensing on or before the due dates; and
• Ensuring that all documentation of the activity required by licensing and accreditation is being completed by staff.
• Be fully aware of the contents of the Parent Handbook and adhere to all childcare policies of FCSS, and the Alberta Child Care Licensing Act and Regulations
• Develop and update the Parent Handbook annually or as required

Program Development and Operations

• Oversee the HKFS and DC programming, daily operations, and staff
• Display and promote a positive attitude and helpful approach with parents and caregivers, and maintain communication with parents and caregivers
• Respond to parents’ questions and concerns to ensure customer satisfaction
• Write yearly reports with respect to achieving program goals, the status of the staffing budget and programming including recommendations for the future year, and other reporting as required
• Ensure the program site is kept clean, well-maintained, and child-friendly
• Maintain all appropriate records and documentation and ensure that it is complete and up to date
• Track information, including attendance, sign-in sheets, and student counts
• Ensure that proper child discipline methods are used, communicated, and enforced
• Meet weekly with the FCSS Assistant Manager to ensure that they are kept advised of what is occurring
• Provide reports and accurate updates to management upon request
• Identify and tactfully resolve workplace problems, including issuing disciplinary actions
• Proactively identify and work to resolve any concerns in a timely manner
• Develop, distribute, and collect evaluation forms on a scheduled basis
• Complete monthly reports
• Market, promote, and generate sponsorships for the program
• Develop and maintain partnerships with community organizations, and agencies, including the written partnerships agreements and/or Terms of Reference
• Attend regular staff meetings
• Maintain confidentiality of all information related to children, their parents, and staff
• Undertake other duties as assigned

Financial

• Develop, monitor, and be held accountable for the annual HKFS and DC budget
• Prepare purchase orders and approve expenditures up to $1,000
• Receive payments, issue receipts, and ensure revenue is posted

QUALIFICATIONS

• Certified Childcare Worker
• Early Childhood Educator Level III Certificate required
• Post-Secondary Diploma in Early Childhood Development or a related social science or human services field required
• Degree in Early Childhood Development or a related social science or human services field preferred
• Minimum 5 years of supervisory work experience in childcare or a family support field
• A combination of education and/or experience related to this position may be considered
• Knowledge and understanding of the Alberta Child Care Licensing Act and Regulations
• Understanding of grant funding and reporting requirements
• Working knowledge of computers and systems, and Microsoft Office Suite
• Completion of: Mental Health First Aid, Non-Violent Crisis Prevention & Intervention, Cultural Sensitivity Training, Suicide Awareness, Fetal Alcohol Spectrum Disorder (FASD) Training, First Aid and CPR, Trauma Training, or Safe Food Handling is preferred
• Satisfactory background screening is required for this position including a Criminal Record Check, Vulnerable Sector Check, and Child Welfare Check
• A Class 5 Driver’s License with a satisfactory Driver’s Abstract

WORKING CONDITIONS

Hours

Able to work flexible shifts including mornings, afternoons, evenings, and weekends as required.

Physical Effort

Office-based work performed typically includes administrative duties and varying levels of physical effort, including moderate lifting (up to 10 kgs), sitting, walking, standing, pushing, pulling, reaching, driving, carrying. Repeated motion of office tasks.

Travel

Some travel to field sites within and outside the Town under various road and weather conditions. Must maintain alertness and respond appropriately using defensive driving skills in various conditions (traffic, weather, distractions).

Work Environment

Performance of duties entails program coordination for youth in public spaces, indoors and outdoors (seasonally), and field trips offsite. Significant exposure to the public in a service provision capacity. Limited to moderate exposure to office environments. Potential exposure to biohazards.
