The Bid Coordinator will be responsible for supporting Agilyx NA sales organization with rigorous processes and identify opportunities for improvement.
Purpose
Reporting to the Director of Sales for North America the Bid Coordinator is responsible for managing the end-to-end bid process, ensuring high-quality, competitive, and compliant bids are submitted on time and within budget. This role requires strong collaborative, communication and organizational skills with excellent project management.
The primary purpose of this role is to take responsibility to:
- Support the North American sales team with bid responses.
- Support the integrity of our sales data.
- Make recommendations and document improvements to our bid process.
Responsibilities
The Bid Coordinator will work in the following areas:
Bid Development
- Develop and implement bid strategies that align with the organization's business development goals. This includes analyzing market trends, identifying target opportunities, and assessing the competitive landscape.
- Prepare and review bid documents, including proposals, tenders, and expressions of interest. Ensure all documents are accurate, complete, and compliant with client requirements.
- Build and maintain strong relationships with internal and external stakeholders, including clients, partners, and suppliers. This involves regular communication, consultation
- Daily review of upcoming bid opportunities.
- Support with the development and maintain pricing tools and methodologies for all applications and relationships.
- Post Bid document development and handover of relevant opportunities.
Bid Process Optimization
- Creating and maintaining documentation for bid processes, policies, and procedures to ensure consistency and clarity for the team.
- Identifying bottlenecks or inefficiencies in the bid process and suggesting improvements for automations.
Forecasting and Pipeline Management
- Monitoring the bid pipeline to ensure deals are progressing and supporting the sales team in moving deals forward.
Collaboration with Other Departments
- Acting as a liaison between sales and other departments (like marketing, finance, or customer support) to ensure that the sales team has the information and resources they need.
- Support with the development and optimization of standard Agilyx Group GTM messaging and accompanying materials for use in RFX processes and prospect targeting, sales motions.
- Coordinating with external marketing teams to ensure sales team have the necessary materials, leads, and campaigns to support their efforts.
- Coordinating regional marketing activities for industry conferences.

- Uphold ISO27001 Information Security policies within the department and function.
- Comply with Environmental policies and procedures on/off site.
- This position has the authority to carry out the occupational health and safety responsibilities and accountabilities expected of it.
Accountabilities
- Conduct market research to support sales strategies and identify new business opportunities.
- Analyse customer feedback and sales data to improve customer satisfaction and sales processes.
- Ensure all sales bids comply with company policies and industry regulations.
- Lead or participate in sales-related projects to drive strategic initiatives and improvements.
Demonstrated Professional Experience
- Proven experience in managing and supporting bid responses ideally with an APMP certification.
- Proven experience in conducting comprehensive analysis of sales data to identify trends, forecast sales, and provide actionable insights.
- Ability to identified inefficiencies in bid processes and implemented improvements, resulting in increased productivity and efficiency.
- Knowledge of ERP/HR/Payroll/Financial software or knowledge of SaaS-based software sales.
- Knowledge of Salesforce CRM is desirable.
