Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office, handling a variety of administrative tasks that contribute to our overall efficiency. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple responsibilities effectively.
Duties
- Perform data entry tasks with accuracy and attention to detail.
- Manage filing systems and maintain organized records for easy retrieval.
- Provide exceptional customer service and support at the front desk, greeting visitors and answering inquiries.
- Booking shipments for ground shipping and freight carriers.
- Operate phone systems, demonstrating excellent phone etiquette while handling incoming calls.
- Assist with bookkeeping tasks, including invoicing and tracking payments using Sage or similar software.
- Utilize Microsoft Office and Google Workspace applications for document creation, spreadsheets, and presentations.
- Proofread documents for accuracy and clarity before distribution.
- Support team members with clerical duties as needed, ensuring all administrative functions are executed efficiently.
Requirements
- Proven experience in an administrative role, preferably within a medical or dental office setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Strong computer skills with the ability to learn new software quickly; experience with Sage is a plus.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong typing skills with attention to detail for accurate data entry and documentation.
- Exceptional proofreading abilities to ensure high-quality outputs.
- Demonstrated customer service skills with a friendly demeanor when interacting with clients and colleagues.
- Experience handling front desk responsibilities, including managing appointments and patient interactions in a dental office is preferred but not required.
