Career Opportunity
The LRT Operations department is looking for an Administrative Assistant!
Support the heartbeat of Toronto’s transit! As an Administrative Assistant, you'll provide vital support to the Department Head and help keep our Surface Transportation team running smoothly.
What You Will Do
- Managing the Head, Light Rail Transit Operations Office: Plan and coordinate daily activities, handle incoming correspondence, and ensure timely follow-ups using a bring-forward system.
- Communication & Coordination: Draft and edit sensitive correspondence, respond to internal and external inquiries, and prepare reports, summaries, and recommendations.
- Project & Issue Tracking: Monitor departmental priorities, track progress, and provide updates on key initiatives and issues.
- Meeting & Event Support: Organize meetings, prepare background materials, take notes, and follow up on action items.
- Administrative Leadership: Guide staff on office procedures, TTC policies, and administrative standards; train new support staff and supervise temporary workers.
- Office & Resource Management: Oversee office moves, equipment repairs, supply orders, and budget tracking; manage payroll and mileage submissions.
- Special Assignments: Carry out research, coordinate special projects, and represent the department in grievance meetings and interdepartmental communications.
- Performs other related duties as assigned

What Qualifications Do You Bring
- Post-secondary education in Office or Business Administration, or an equivalent combination of education and progressively senior administrative experience.
- Strong understanding of business administration principles, modern office practices, and research techniques.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access) and other relevant software applications.
- Excellent organizational, interpersonal, and communication skills—both written and verbal.
- Sound judgment and the ability to manage multiple priorities independently in a fast-paced environment.
- Experience handling confidential and sensitive information with discretion.
- Ability to provide guidance on office procedures and corporate policies to staff.
- Comfortable working with automated systems and maintaining databases and records.
