Job description: Office Services Administrator, Servicing Operations

About the role
This position is in person 5-day a week in Toronto, ON.
Your day to day will include:
- Efficiently sort and scan all incoming mail, ensuring timely distribution to the appropriate departments.
- Draft and obtain necessary signatures for cheques, then accurately mail them to vendors and clients.
- Monitor and respond to all email queues in a timely and professional manner.
- Provide essential backup support to Servicing Specialist(s) as needed.
- Complete other projects and administrative tasks as assigned by management.
- Proactively follow up on outstanding final reports for funded mortgages with solicitors and FCT via email and phone to ensure timely completion.
- Obtain necessary tax bills from municipalities.
- Send welcome letters to new borrowers.
- Manage all outbound mail and courier items for staff, borrowers, and vendors, ensuring accurate and prompt delivery.
- Maintain a professional and presentable office environment, including ensuring the kitchen is consistently stocked and tidy.
- Coordinate and set up meetings, including arranging catering services as required.
You will bring:
- Ability to thrive in a fast-paced environment, working effectively both independently and as part of a team.
- Strong organizational, time-management, and communication skills with meticulous attention to detail.
- Entrepreneurial mindset is essential.
- Prior administrative experience required.
- Proficiency in Microsoft Office and the aptitude to quickly learn new technologies and systems.
