Overview
The Healing Forest is a TCM (Traditional Chinese Medicine) and acupuncture wellness clinic rooted in holistic healing, with a focus on individualized care, herbal medicine, and wellness education. We are seeking a dedicated, organized, and proactive Clinic Manager to oversee day-to-day operations, support our team of practitioners, and ensure smooth patient experiences.
This role is ideal for someone with a background in healthcare, wellness, or clinic administration and management who appreciates natural holistic medicine.
Key Responsibilities
Clinical & Operational Oversight
- Manage all daily clinic operations, including patient flow, scheduling, charting, and insurance billing.
- Ensure compliance with clinic policies, provincial regulations, and health & safety standards.
- Coordinate workflow among all practitioners: TCM doctors, acupuncturists, naturopaths, osteopaths, chiropractors, and support staff.
- Monitor and optimize service delivery to maintain a patient-centered, healing atmosphere.
TCM Herbal Dispensary Management
- Oversee the herbal pharmacy: manage inventory of raw herbs and granules, place restock orders, and ensure accurate labeling and packaging of custom formulas.
- Support practitioners in the preparation, pickup, and shipping of herbal prescriptions.
Staff & Contractor Coordination
- Recruit, hire, train, and onboard staff as needed (administrative or support roles).
- Provide direction, mentorship, and scheduling support for the clinical team.
- Motivate and evaluate team performance; conduct check-ins and resolve interpersonal or workflow issues.
Business Administration & Systems
- Review and manage budgets, track expenditures, and ensure departments stay within funding limits.
- Develop and monitor systems for performance evaluation, clinic metrics, and service quality.
- Manage contracts, supplies, vendor relationships, and service providers.
- Maintain and optimize JaneApp, clinic software, and digital systems.
Patient Experience & Community Engagement
- Respond to patient inquiries, follow-ups, and service concerns with empathy and professionalism.
- Track patient feedback and implement improvements to care delivery.
- Coordinate marketing activities, such as seasonal promotions, social media posts, wellness workshops, and events.
Reporting & Strategic Input
- Oversee the collection and analysis of clinic data for reporting and planning.
- Prepare and review reports on clinic performance and service delivery.
- Contribute to policy updates, workflow improvements, and strategic decisions.
Qualifications
- Healthcare, wellness, or clinic admin background strongly preferred (experience in a TCM or holistic clinic is an asset).
- Familiarity with herbal medicine, natural health products, or dispensary processes is a major plus.
- Comfort with basic medical/TCM terminology and patient confidentiality protocols.
- Strong organizational and multitasking skills.
- Tech-savvy and quick to learn software tools (JaneApp, Google Drive, POS systems).
- Warm interpersonal communication style — able to hold calm space for patients and practitioners alike.
- Interest in or openness to learning about Traditional Chinese Medicine and integrative health approaches.
Position Details
- Part-time: 12–20 hours/week to start, with room to grow potentially into full-time. We are looking to expand to a 2nd location next year.
- Compensation: Competitive hourly rate based on experience; includes clinic treatment discounts and wellness perks

Pay: $44,170.66-$136,973.45 per year
