Who We Are
The GVFB provides assistance to approximately 15,000 people monthly across Vancouver, Burnaby, New Westminster and the North Shore. We also provide food support to 150 agencies such as housing agencies, women and children’s shelters, transition homes and after school programs, which in turn provide hot meals and snacks to thousands of people each week, including people who are unhoused.
Our mission is providing healthy food to those in need. Our vision is to create healthy communities through fair and effective food systems. Currently, the GVFB distributes 8.9 M lbs of food each year.

This is a full-time permanent position, with the opportunity to learn and grow. The successful candidate can expect a Living Wage based salary of $52,747 annually.

Position overview
The Supply Chain Associate is responsible for the administration and coordination of key procurement functions at the Greater Vancouver Food Bank (GVFB). The Supply Chain Associate will be responsible for assigned month-end functions, daily procurement, and data entry tasks.
Key responsibilities
- Complete accurate cycle counts of purchased and donated food items three weeks before the start of each menu cycle. Collaborate with the Supply Chain Specialist to validate and submit data for menu planning.
- Work with the Supply Chain Specialist to conduct the monthly inventory count on the last business day of each month, ensuring accuracy and completeness of the data for submission to the Finance department
- Review and update weekly menu data weights as needed and communicate any discrepancies to the Distribution team.
- Manually maintain and record operational data into tracking spreadsheets.
- Provide regular updates and reports to Data Analysts to ensure transparency and alignment.
- Track and log all purchase orders, invoices, and related documentation in the Purchase Order Tracking Spreadsheet.
- Ensure proper organization and maintenance of both physical and digital procurement records.
- Maintain strong working relationships with suppliers and vendors.
- Support the day-to-day logistics activities, communicating delivery and pickup details with the Warehouse and Driver teams.
- Conduct walk-throughs with Sort team members to identify products needed for program building using the FIFO method.
- Assist with preparing order sheets based on menu planning and purchasing needs.
- Provide the Order Menu Sheet to the Warehouse team on a weekly basis.
- Create monthly dairy orders for the Sort Team.
- Update donation records on platforms like Second Harvest and Food Banks Canada weekly or monthly, as required.
- Support the day-to-day administrative tasks of the Supply Chain and Warehouse teams.
- Complete other duties as assigned by the Supply Chain Assistant Manager, Supply Chain Specialist, or Operations Leadership
Personal attributes and core skills
- Strong written and verbal communication skills;
- Detail-oriented, with strong organizational skills, and proven strengths in administration;
- Solution-oriented, with strong analytical and problem-solving skills;
- A self-starter who can work well independently with minimal supervision, prioritize, and manage multiple tasks with hard deadlines;
- Excellent negotiation skills and a strong ability to build relationships with suppliers and vendors;
- Willingness to learn and grow as strategies and technologies evolve.
Qualifications and experience
- Post-secondary degree in business, supply chain, logistics, or administration an asset;
- 1 – 2 years’ experience in procurement and supply chain field, administrative environment or data management;
- Proficient in MS Office Suite, with an advanced level of MS Excel;
- Experience with entry-level programming or database skills is an asset;
- Experience with effective supply management is an asset.
- Experience with Inventory Management Systems (IMS) is an asset.
Physical Requirements
- Ability to lift up to 50 lbs. on an as-needed basis;
- Exposure to ambient temperatures and noisy conditions;
- The ability to walk and stand throughout the shift.
- Travel between GVFB facilities as needed to support operations, attend meetings or assist with cross-location coordination and tasks.
