The Office of the Registrar is currently seeking a Full-time Regular Student Systems Business Analyst Manager.
Reporting to the Associate Registrar, Systems, Scheduling and Policy, this position is integral to the effective and efficient operation of PeopleSoft Campus Solutions and related systems, providing operational oversight, daily leadership, and support to the Business Analyst (BA) team. The role involves complex work such as coordinating technical tasks, project tracking, and operational planning to improve Student Information System (SIS) effectiveness, streamline cross-campus project execution, and enhance the student experience. The Manager oversees a master systems roadmap for the next three years, ensuring long-term system stability and alignment with institutional priorities. This position will support and direct work arising from system issues, enhancement requests, new functionality, planned maintenance, configuration, and upgrades, which may involve managing staff who work outside regular business hours during critical periods.
Summary of Key Responsibilities (job functions include but are not limited to):
- Provide daily leadership and operational oversight to the Business Analyst (BA) team, including Business Analysts, Senior BA Team Leads and Programmer Analysts, managing work assignments, coordinating coverage, and ensuring effective resource allocation and alignment with project goals.
- Lead and oversee staff activities, including hiring, mentoring, training, conducting performance reviews, and resolving complex departmental and interpersonal issues, fostering a positive, accountable, and collaborative team culture.
- Coordinate the intake, prioritization, and tracking of all system tickets and Change Management (CM) requests for PeopleSoft Campus Solutions and our third party student system platforms (such as Schedule Builder, Ad Astra, CourseDog, Slate, CIBC/Convera/RBC platforms, Star Rez, etc.)
- Lead the development and ongoing maintenance of a master systems timeline for all student system initiatives, including SIS improvements, data exchanges, and major upgrades over the next three years, ensuring alignment with institutional priorities.
- Review and provide approval for all decision documents, records, and design documents created by BAs for system changes, ensuring optimal solutions.
- Lead high-profile CM tickets and significant project working groups
- Assist with the implementation, upgrades, and maintenance of scheduling and curriculum software, including PeopleSoft Campus Solutions, continually evaluating practices to improve unit efficacy and university processes.
- Act as a primary liaison between the Business Analyst team and other university units, fostering reciprocal relationships, and ensuring stakeholder needs are reflected in system design through collaborative meetings.
- Provide weekly reporting on project progress, resource utilization, and identified risks to the Associate Registrar and other Senior Leadership as required.
Qualifications / Requirements:
- A university degree in a relevant field such as Business Administration, Computer Science, Higher Education Administration or equivalent experience would be considered.
- Certification in Business Analysis (e.g., CBAP) or Project Management is considered a significant asset.
- Minimum of 7 years of progressive experience in a post-secondary environment, with responsibility in student systems, business analysis, or project coordination.
- Demonstrated supervisory or leadership experience, including staff management, delegation, and coaching, ideally in a complex institutional setting. This includes experience in managing work assignments, coordinating coverage, and ensuring effective resource allocation for a team.
- Experience with PeopleSoft Campus Solutions or similar large-scale Enterprise Resource Planning (ERP) systems is essential.
- Proven experience in project coordination and change management.
- Experience with planning and implementing staff training and development programs is an asset.
- Demonstrated knowledge of PeopleSoft Campus Solutions, including understanding of configuration tables, business processes, and the current business processes for the Office of the Registrar and other units on campus.
- Strong analytical skills, including the ability to query databases using SQL and other query tools.
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Teams, Outlook) is required, with strong Excel skills for working with large data sets.
- Experience with Power BI or other analytical software is an asset for data analysis and reporting.
- Familiarity with project tracking platforms (e.g., Smartsheet, Jira) is beneficial.
- A basic understanding of coding and logic to facilitate work with development teams is valuable.
- Exceptional organizational and communication skills (both written and verbal), with the ability to manage competing priorities and lead through influence. This includes the ability to translate technical information into accessible language for various audiences.
- Strong problem-solving and critical thinking skills to analyze business requirements thoroughly and recommend appropriate solutions.
- Demonstrated ability to build and lead collaborative, diverse work teams, fostering a positive and accountable work environment.
- A proactive, service-oriented approach to stakeholder engagement and the ability to establish and grow open, reciprocal relationships with various university units.
- Experience with organizational change management to support institutional adoption of new software, processes, and guidelines.
- Ability to follow project management practices and methodology.
