Description

The English Language Program within UCalgary Continuing Education is currently seeking a Full-time Limited Term Student Support for approximately 12 months.

The English Language Program (ELP) provides second language learning solutions at the local and international level for individual, institutional, and business clients. This position reports to the ELP Manager, Customer Service & Operations and works closely with Managers, Coordinators, Instructors and other staff in a cross-functional team environment that supports over 1000 English learners annually.

This position requires the ability to work a variable schedule (evenings, weekends, and irregular work days). Some off-campus work will be required. Peak work periods are July, August, September, January, February and April. Time off during peak periods will be limited.

Summary of Key Responsibilities (job functions include but are not limited to):

Socio-Cultural Support

  • Assist in the planning, organization, implementation of excursions and activities for English Language Program students.
  • Book facilities and processes payments for services required for the socio-cultural program.
  • Leads 35-50% of annual day/weekend excursions, and evening activities.
  • Assist with the overall supervision, direction and guidance of casual and student staff.
  • Coordinate excursion meetings with staff and students.
  • Prepare student support materials such as itineraries, activity sheets and information packs.
  • Use social media to promote the ELP and build community among participants.
  • Effectively handle unforeseen problems that arise during excursions.
  • Administer, collect, and maintain photo and activity waivers.
  • Handle payments, invoices, and expense reports for activity expenditures.
  • Handle activity program related inquiries and vendor communications.
  • Assists with ELP team event organization.
  • Confirming bookings with vendors and employing back-up planning.

Student Registration Support

  • Provide information & assistance on course and program selection, registration, program requirements, refunds and transfers, and scheduling.
  • Process admission applications, course registrations, transfers/withdrawals, and fee transactions
  • Inform prospective students of the educational programs and services of the English Language Program, Continuing Education, and the University.

Administrative & Course Support

  • Maintain student and instructor records using Excel database and the UCCE Registration System (Destiny One)
  • Prepares student materials and records (ex. eLetter of Acceptance, intake day materials
  • Assists with ELP student orientations and intake day duties.
  • Provide language support to ELP staff and students as needed.
  • Books facilities (i.e. classroom, conference space) as needed.
  • Prepares marketing and promotional materials.
  • Maintains inventory of office and instructional supplies, materials and equipment.
  • Provides clerical support to the Director, International and the ELP managers.
  • Performs other administrative duties as assigned by Manager, Customer Service and Operations.
  • Assists with creating and collecting data for socio-cultural activity surveys.
  • Assists with administering student satisfaction surveys.

Qualifications / Requirements:

  • Completion of a level of education equal to a certificate, diploma in a related fields such as business administration, tourism, hospitality, or an equivalent combination of education and experience.
  • Minimum of 1 year work experience in a customer facing role in an English language school; work experience in a post-secondary ESL center preferred.
  • Minimum of 1 year work experience in planning and executing excursions for ESL students. Experience facilitating large overnight trips would be preferred.
  • Ability to work on some weekends and evenings.
  • Must be comfortable leading large group of students in various excursion locations including but not limited to mountains, ski hills and marine environment (lake, river).
  • First aid training would be an asset
  • Knowledge of local and provincial tourism spots would be an asset.
  • Ability to be flexible and problem solve independently.
  • Oral and written fluency in Mandarin, French, Spanish, or Korean would be an asset.
  • Excellent communication, interpersonal, organizational, time management skills and strong detail orientation with the ability to set priorities and meet deadlines
  • Reliable team player who uses good judgment, approaches matters in a professional and positive manner, and demonstrates a strong customer service orientation.
  • Knowledge of tourism practices and event coordination.
  • Fluency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience with the University's core business systems such as PeopleSoft, e-Procurement, and Continuing Education Student Registration System (Destiny One) or other educational student information systems would be an asset.
  • Positive attitude and demonstrated ability to be a collaborative team member.
  • Cross-cultural sensitivity and experience working with clients of limited English proficiency.
