WHAT THE ROLE IS ALL ABOUT!
The Site Administrator will provide essential administrative and operational support to the project team by managing project documentation, coordinating travel arrangements, and tracking daily progress. This role involves working closely with People & Culture to assist with onboarding and ensure employees have everything needed for a positive and supportive work environment. This is a remote, rotational-based position where travel camp accommodations will be provided.
ESSENTIAL CONTRIBUTIONS WE NEED FROM YOU!
- Provide administrative support to project management and field operations teams, ensuring smooth communication and execution of site activities.
- Collaborate with People & Culture to oversee the onboarding process and ensure all new hire requirements are met.
- Offer exceptional customer service to all employees, addressing needs and concerns to foster a positive and supportive work environment.
- Manage a high volume of project-related documents, including invoices, purchase orders, bills of lading, and other administrative records.
- Coordinate and arrange travel logistics, including flight bookings, accommodation requests, and transportation arrangements for on-site personnel.
- Maintain and organize daily timesheets, equipment records, and project field files, ensuring accuracy and compliance with project standards.
- Maintain and update employee rotation schedules, ensuring adequate coverage and compliance with shift requirements.
- Track and report daily progress, including load counts, quantities, manpower, and man-days, ensuring accurate and up-to-date records for project monitoring.
WHAT WILL MAKE YOU A POSITIVE IMPACT?
- Previous experience in an administrative role, preferably in a construction or project-based environment.
- Experience with Spectrum Software will be considered an asset.
- Previous experience with onboarding or HR processes will be considered an asset.
- A proactive, solutions-oriented attitude with a focus on improving processes and supporting the project team.
- Must be flexible and adaptable to changing priorities and demands on-site.
- Ability to manage confidential information is mandatory.
- Advanced MS Office (Word, Excel, Outlook) skills are required.
- Critical thinking and effective decision-making skills are required.
- Ability to work independently and as part of a team.
- Exceptional customer service skills are mandatory.
- Ability to work under pressure and meet strict deadlines.
- Strong communication skills both verbal and written as well as electronically.
- Strong accuracy and attention to detail.
- Must be able to manage priorities, perform a variety of tasks and meet targets.
- Must hold a valid driver’s license.
- Must be able to successfully pass a drug and alcohol screening as well as a criminal background check.
