RECEPTIONIST/ADMINISTRATIVE ASSISTANT
This position will be responsible for providing general front-line reception and administrative support, including scheduling meetings, planning events, team communications, while also gaining experience in office, project, and technical professional systems.
KEY RESPONSIBILITIES
- General office functions, such as distributing mail, greeting visitors, assisting with correspondence, monitoring office inventory and ordering supplies
- Answering and directing all incoming phone calls
- Organize meeting logistics, including room bookings, IT requirements, catering, and room layout
- Coordinate cost effective and efficient travel arrangements when necessary for business travel
- Manage and maintain schedules and boardrooms in online calendars
- Collecting and managing deliveries to the office
- Attend meetings and take meeting minutes as required
- Assistance with filing and organization of documents
- Maintain PPE inventory and assist employees with their PPE requirements
- Data entry into relevant systems
- Ensure office and reception area is opened during business hours and closed at the end of the day
- Manage company fleet vehicles by coordinating requests, inspecting vehicles upon return, and booking maintenance when required
- Other office duties as required
QUALIFICATIONS AND EXPERIENCE
- College diploma in an administrative or business program preferred
- Experience in an administrative capacity
- Strong ability to prioritize and anticipate business/team needs
- Organized self-starter with proven ability to multitask
- Team oriented and ability to support team members and clients
- Proficient with Microsoft Outlook, Word, PowerPoint, Excel, and MS Teams
- Excellent written and verbal communication

POSITION SPECIFICS
Annual Salary Starting at $52,020
Bonus Pay/Profit Sharing, when possible
8:00 to 5:00, Monday – Friday
