Here at Human Appeal we have an exciting opportunity for a Programs and Grants Coordinator to join our team.You will join us on a full-time basis as part of an initial 1-year fixed term contract with a view to progressing into a permanent role. Human Appeal is a faith-based charity that aims to abolish poverty by providing humanitarian aid, sustainable development programs and championing advocacy for our beneficiaries worldwide.
The Programs and Grants Coordinator is responsible to co-ordinate and manage Human Appeal Canadas program portfolio. This involves monitoring the project cycle, leading on the development and critical appraisal of proposals, budgets and reports; and making funding recommendations in-line with the National strategy. Maintaining an oversight of high quality development programs, in compliance with Human Appeal policies, agreed work plans and donor requirements. Responding to internal (fundraising, comms, finance, IF teams) and external (donors, partners etc.) requests in relation to program updates and summaries. Contributing towards strategy development and support in aligning and shaping organizational and strategic decisions and goals. The role also includes capacity building of staff within the programs team.
Design proposals and concept notes ensuring they meet program aims and objectives. Develop and maintain relations with a wide range of institutional and partners under the donors framework. Work with income generation teams at Human Appeal as well as external agencies to fundraise for Human Appeal Canada.
Key duties and responsibilities (but not limited to):
- Provide an effective oversight and support to assigned to Grants and Programs
- Work in line with Human Appeals Programs Strategies, to help achieve the organizations Strategic Key Priorities
- Review project reports (narrative/financial), spot checks findings, PCRs and donor feedback ensuring quality implementation, highlighting gaps and raising high level concerns.
- Provide quality assurance in the field and HQ in coordination with QA unit
- Support the capacity development of the Programs department by contributing to Strategy Development at a global/regional /country level, and providing support in aligning/shaping organizational and strategic decisions and goals.
- Bring understanding and knowledge of current development trends, SDGs and learning from other programs in order to provide technical support in program development, and develop own expertise through continuous personal development.
- Maintain a close oversight and assess whether projects are implemented in line with approved work-plans, Human Appeal policies and agreed Human Appeal & international quality standards.
- Ensure appropriate resource allocation (both financial and human) to effectively deliver programs in a highly organized and systematic manner.
- Support the Country Director of assigned countries to accelerate the access to IF grants by consulting, attending potential donor meetings, providing inputs in the strategy development and planning processes.
- Acting as a focal point for HQ support, lead on coordinating the design, implementation, monitoring and reporting of Human Appeal Canadas named projects.
- Provide guidance and direction for field staff and operations in order to develop FO and strengthen/maximize impact of programs.
- Liaison between the Institutional Funding & Strategic Partnerships unit at Human Appeal UK and the Field Offices for efficient project management.
- Provide proposal writing and financial/narrative reporting for donor accountability; ensuring that Human Appeals cross-cutting themes are effectively incorporated within the programs and reviewed regularly.
- Follow up on due reports and critically appraise project reports to ensure timely and quality submission, in compliance with Human Appeal & international quality standards. Reporting any deviations to relevant stakeholders.
- Appraise and respond to requests from Field Offices for financial and material changes to projects i.e. costed/no-cost extensions/amendments to delivery plans and budgets.
- Responsible for partner selection to in the field where necessary, by providing profile for each partner, coordinating the screen checks with P&C and supporting the due diligence process, managing contracts/MOUs, brand value and impact to ensure local partners are selected professionally considering Human Appeal values.
- Monitor partners' performance and delivery of capacity building as-required (regular meetings, progress reports) and assess the capacity of partners to deliver the projects effectively (resources, technical skills, knowledge of content etc.); identifying gaps and proposing recommendations.
- Conduct a regular and close monitoring for Field Offices projects, through field visits where necessary, to ensure the effectiveness of the delivery and implementation and ensuring alignment with the program strategy and organization's strategic plan.
- Ensure successful delivery of projects through effective monitoring of projects, appropriate management of field staff, and clear evaluation to measure effectiveness of interventions for evidence-based learning and to design new projects.
- Travel to the field to undertake scoping or evaluation missions, meet with team for capacity building, and network with stakeholders including UN agencies and government officials where necessary.
- Analyze and highlight key outcomes and successes in project reports and share with communications and fundraising teams; to ensure cross-departmental working for information sharing and to increase organizational learning.
- Monitor trends and developments in relevant policy areas, update internal colleagues of these developments and where relevant influence the direction of these developments in line with Human Appeal priorities
- Ensure availability for Human Appeals response to humanitarian crises or natural disasters and provide the necessary support to Human Appeals departments.
- Support and/ or lead organizational networking requirements across Canada with identified and agreed stakeholders by attending key events, conferences, ensuring the reason of attendance is obtained to ensure Human Appeal is participated in various events.
- Raising the profile of Human Appeal in the Canadian charity sector through networking and representation on appropriate platforms by fostering relationship with key partners and enhancing great relationship with local council and educate our team to promote the work of Human Appeal with everyone they meet via good stories.
Skills and Experience:
- Minimum 5 years of experience working in Program Coordination at an INGO with ideally at least 2 years experience at Senior Coordinator or Manager level.
- Demonstrable experience of delivering long-term projects
- Demonstrable experience managing Field Office response during a disaster
- Experience of managing at least 5 large-scale projects at any one time

Education, Certifications, and Languages:
- Bachelor degree in social science/international development or any related field.
- Relevant Masters degree preferred.
- Fluent English
- At least 1 additional fluent language pertaining to HA Field Office countries (i.e. Arabic, Urdu, Swahili)
