Summary:
The Preconstruction Administrator plays a key role in supporting the Preconstruction and Estimating department through efficient coordination, organization, and documentation. This role is critical in ensuring the accuracy, compliance, and timely flow of information across teams, clients, and project stakeholders. With a focus on structure and detail, the Preconstruction Administrator helps maintain the momentum of early project phases and contributes to the successful delivery of Clearway Construction projects.
Location: Clearway's Head Office – Maple, ON.
Hours of Operations: 8:00 am to 5:00 pm (EST)
Essential Duties & Responsibilities:
- Extract and document key information from tender documents
- Create project folders and organize documents according to company protocol
- Manage multiple departmental email inboxes, escalating issues as needed
- Track post-tender projects, update Outlook calendars, and follow up with clients
- Organize team-building events, including logistics and financial coordination
- Maintain document control and ensure all files are properly sorted and accessible
- Keep all project information current, organized, and compliant
- Coordinate and document department meetings with accurate minute-taking
- Follow up on meeting action items to ensure timely completion
- Lead project close-out process with thorough documentation and filing
- Monitor office inventory and place supply orders as required
- Ensure all documentation meets City and OPS standards
- Manage correspondence for pending projects, including validity notices
- Support management with additional tasks as needed
Requirements:
- High School Diploma
- College Diploma or equivalent education considered an asset
- Minimum 5 years of experience in an administrative role
- Excellent verbal and written English communication skills
- Impeccable attention to detail and task ownership
- Ability to manage multiple priorities under pressure and shifting deadlines
- Exceptional organizational, administrative, and time management skills
- Proficiency with Microsoft Office, particularly Outlook, Excel, Word, and Teams
- Familiarity with document control platforms (e.g., Building Connected, SharePoint)
- Comfortable navigating tender documents, drawings, and compliance standards
- Strong verbal and written communication skills for collaborating with internal teams and clients
- Experience coordinating meetings, handling logistics, and managing follow-ups
- Capacity to work independently while being a reliable team contributor
- Prior experience in construction, engineering, or related industries is an asset
- Commitment to maintaining confidentiality and professional discretion
- Positive attitude and proactive problem-solving mindset
- Ability to identify opportunities for process improvements and increased efficiency
- Strong recordkeeping and archiving skills to support post-project documentation
