Reports To: Executive Director of Integrated Services
Job Purpose:
The Operations Manager is responsible for overseeing all operational aspects of the Integrated Services department, ensuring the effective and efficient delivery of programs and services to the community. This role involves the oversight of people, resources, and processes to meet organizational goals and enhance overall performance, quality, and productivity.
Duties and Responsibilities:
- Analyze, design, and improve the processes by which Integrated Services programs and services are delivered to the community.
- Implement and oversee quality assurance and safety programs for clients, staff, and volunteers.
- Forecast future demand for community services to inform program development.
- Develop short-, intermediate-, and long-term service delivery plans based on community needs and demand forecasts.
- Prepare annual departmental budgets, track actual costs, and report on variances.
- Oversee the management of materials and resources, including purchasing, inventory control, and distribution for various programs.
- Lead initiatives to create operational efficiencies and foster a culture of continuous improvement.
- Assist in identifying and overseeing grant funding and reporting requirements.
- Oversee the workforce by planning work schedules and volunteer coordination to meet projected service demands.
- Optimize team performance and productivity through training, professional development, and the implementation of improved operational methods.
- Foster a positive and collaborative work environment that aligns with the values of Integrated Services.
- Oversee logistics for program delivery, including transportation and client access to services.
- Oversee relationships with suppliers, community partners, and clients.
- Develop contingency plans for unexpected changes in service delivery or resource availability.
- Lead and oversee projects, including preparing project plans, identifying stakeholders, defining scope, setting schedules, and monitoring outcomes.
- Perform operational risk assessments and identify strategies to mitigate risks to the organization, its staff, and clients.
- Ensure all operations comply with relevant legislation, regulations, and internal policies.
Knowledge, Skills and Abilities Required:
- A degree in Business Administration, Social Sciences, Public Administration, or a related field.
- Proven experience (3-5 years) in an operations management role, preferably within a non-profit or social services organization.
- Strong understanding of budgeting, financial management, and resource allocation.
- Excellent leadership, communication, and interpersonal skills.
- Demonstrated ability to manage teams, projects, and stakeholder relationships effectively.
- Proficient in using office software and enterprise resource planning (ERP) systems.
- Strong analytical and problem-solving skills with a focus on continuous improvement.
- Knowledge of the social services sector and the unique challenges of a rural or northern community is a significant asset.
- Ability to work collaboratively with diverse groups of people.
Working Conditions and/or Physical Requirements:
- Office environment. Monday to Thursday 8:30am – 4:30pm, Friday 8:30am – 2:00pm. Working hours can vary and me require a flexible schedule depending on type of assignment or work plan task.
- Evening and weekend work may be required to attend meetings, events, and community engagement sessions.
- Requires prolonged periods of sitting at a desk and using a computer.
- The role involves a high degree of community interaction and may require managing emotionally charged situations with sensitivity and professionalism.
