Position Overview:
We are seeking a proactive and highly organized Office Manager to lead the administrative operations of our head office. This role is critical to ensuring the smooth day-to-day functioning of the office and supporting the executive, finance, operations, and field teams. The ideal candidate will bring a strong mix of administrative leadership, attention to detail, and a hands-on approach to problem-solving.
Key Responsibilities:
Administrative Operations
- Oversee daily administrative activities, including correspondence, filing, scheduling, and supplies management
- Maintain company records and documentation, both physical and digital
- Manage office services such as utilities, security, vendors, and insurance
Executive Support
- Provide administrative assistance to senior leadership, including calendar management and travel coordination
- Prepare reports, presentations, and correspondence as needed
HR & Payroll Coordination
- Support onboarding of new hires and maintain employee records
- Liaise with payroll and benefits providers
- Assist with time tracking, PTO coordination, and team communications
Financial & Project Support
- Assist with invoicing, expense tracking, and coordination with the accounting team
- Track project documentation (contracts, change orders, invoicing, safety records) and ensure filing consistency
Communication & Culture
- Serve as the point of contact for internal and external stakeholders
- Help foster a positive, productive, and respectful office environment
- Support company events, team meetings, and training coordination
Qualifications:
- 3–5 years of experience in office administration or management (construction or industrial services experience is an asset)
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and comfort with cloud-based file systems (e.g., OneDrive, SharePoint)
- Excellent verbal and written communication
- Ability to work independently and handle confidential information
- Bookkeeping or accounting support experience considered a strong asset
- Knowledge of construction documentation (P.O.s, submittals, contracts) is a plus
