Position Summary:
We are looking for an organized, dependable, and tech-savvy Office Manager to support the day-to-day operations of our school bus and public transit services. This is a key role in a small, fast-paced office where multitasking is essential. The ideal candidate will handle a variety of administrative responsibilities — with a strong focus on data entry, communication, and supporting basic IT needs — all while keeping the office running smoothly.
Key Responsibilities:
- Daily Office Operations: Oversee the smooth running of the office, including managing supplies, coordinating communications, maintaining records, and supporting staff and drivers.
- Data Entry & Reporting: Accurately input and update route schedules, driver logs, maintenance records, incident reports, and payroll data into relevant systems.
- Dispatch & Driver Support: Assist with dispatching support, route changes, driver communications, and maintaining driver files and certifications.
- IT Coordination: Provide basic tech support for office equipment and software (printers, tablets, GPS systems, etc.). Coordinate with external IT providers as needed.
- Public & School Communication: Answer inquiries from schools, parents, and the public regarding routes, schedules, and service updates in a professional and helpful manner.
- Compliance & Documentation: Ensure that all records meet regulatory standards (e.g., driver qualifications, vehicle inspections, incident reporting) and are properly filed and maintained.
- Office Improvements: Identify and implement process improvements to make daily operations more efficient and organized.
Qualifications:
- Previous experience in office administration or operations support, preferably in transportation or a related field.
- Comfortable working in a dynamic, service-focused environment with multiple priorities.
- Strong computer skills and experience with data entry, spreadsheets, and email communication.
- Familiarity with scheduling software, GPS tracking systems, or dispatch tools is an asset.
- Excellent communication, organization, and problem-solving skills.
- Ability to work independently and as part of a small team.
Preferred Qualifications:
- Knowledge of school bus or public transit operations is a strong asset.
- Experience working with driver compliance files, MTO regulations, or transportation scheduling systems.
- Understanding of privacy and safety protocols in a transportation environment.
