We are a busy, award-winning Multi-Disciplinary clinic committed to providing exceptional care to our clients. We are looking for a dependable and professional Administrative Assistant who will be the first point of contact for our patients and play a key role in creating a welcoming, supportive environment while also managing aspects of our clinic’s social media presence.
Key Responsibilities:
Administrative Duties
- Greet patients warmly and provide exceptional customer service, both in person and over the phone.
- Schedule and confirm appointments, ensuring clear communication between Patients and Therapists.
- Maintain accurate and organized patient records.
- Promptly follow up with clients regarding appointments, treatment plans, and any inquiries.
- Support therapists in ensuring a smooth flow of daily clinic operations.
- Handle administrative tasks such as billing, invoicing, and insurance paperwork.
- Identify and proactively address client needs to ensure a positive experience.
Social Media Marketing Duties
- Develop and implement social media strategies to increase brand awareness and engagement.
- Create engaging content for multiple social media platforms, including but not limited to Facebook, Instagram, Youtube, Twitter, and LinkedIn.
- Monitor and respond to comments and messages on social media channels.
- Track and analyze social media performance metrics to optimize content and strategy.
- Stay up-to-date with industry trends and best practices in social media marketing.
What We’re Looking For:
- Proficiency in Embodia software for scheduling, documentation, and communication.
- Strong skills in social media content creation and marketing strategy.
- Excellent verbal and written communication skills.
- Strong sense of accountability and professionalism in all interactions.
- Ability to remain calm, empathetic, and solution-focused when addressing client concerns.
- Organized and detail-oriented, with the ability to multitask in a fast-paced environment.
- Team player who takes initiative and values collaboration.
- Previous experience in a healthcare or customer service setting is an asset.
