Modern You Medical Aesthetics is a high-end medical spa specializing in advanced skin treatments, injectables, and luxury client care. We are seeking a polished, organized, and client-focused Medical Spa Receptionist to be the first point of contact for our clinic. Duties and Responsibilities
Client Experience
- Greet clients in a warm, friendly, and professional manner upon arrival.
- Answer phone calls, emails, and inquiries promptly, providing accurate information about services, pricing, and availability.
- Escort clients to treatment rooms and ensure intake/consent forms are completed and reviewed prior to appointments.
- Handle client concerns or complaints with professionalism and empathy, escalating when appropriate.
Scheduling & Administration
- Schedule, confirm, reschedule, and cancel appointments while maintaining an accurate, organized booking system.
- Maintain accurate and confidential client records in compliance with privacy regulations.
- Assist with administrative duties including filing, scanning, and data entry.
Clinic Operations
- Maintain a clean and organized front desk, retail area, washrooms, and common spaces at all times.
- Perform light cleaning duties and assist with tidying treatment rooms between clients as needed.
- Restock front desk and treatment room supplies, ensuring essential items are always available.
- Support management with additional tasks such as organizing storage areas, cleaning out rooms, or assisting with special projects.
- Take initiative to improve systems for organization, cleanliness, and workflow throughout the clinic.
Financial Transactions & Sales
- Process payments, issue receipts, and complete accurate daily cash-out procedures.
- Provide product and service information to clients, supporting retail sales when appropriate.
Team Collaboration
- Collaborate effectively with all staff to ensure smooth daily operations and exceptional client experiences.
- Participate in team meetings, training sessions, and promotional events as required.
- Uphold the clinic’s standards, values, and brand image with professionalism, integrity, and discretion.
Qualifications
- Minimum 1 year of experience in a medical aesthetics clinic, dermatology office, plastic surgery clinic, or high-end spa setting (required).
- Strong knowledge of medical spa treatments and terminology, including injectables, laser services, and skincare products.
- Proficiency with booking and EMR software (e.g., Jane, MindBody, or similar).
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills, with a professional phone and email manner.
- Ability to multitask in a fast-paced environment while maintaining composure.
- Professional, polished appearance in alignment with the clinic’s brand image.
- Demonstrated ability to maintain confidentiality and uphold privacy regulations.
Job Type: Part-time
Pay: $19.00-$21.00 per hour
Expected hours: 10 – 19 per week
