Job Summary
Our real estate team is one of Ottawa's top-producing groups, ranked among the top 1% nationally, in our well respected national brand brokerage. We specialize in both resale and new construction properties and are known for delivering a high-touch, results-driven client experience. We are currently seeking a Listing Coordinator to join our growing team and help streamline operations and enhance client service.
The Listing Coordinator is responsible for managing all aspects of the listing and transaction process from documentation and deadlines to branding and marketing support. This role is ideal for someone who is detail-oriented, tech-savvy, and thrives in a fast-paced real estate environment.
Listing & Transaction Coordination
- Oversee the full lifecycle of resale, new construction, and rental listings
- Prepare and submit all listing and deal-related documentation
- Ensure compliance with brokerage and RECO regulations
- Track and manage key deadlines (conditions, inspections, closings)
- Liaise with clients, lawyers, lenders, agents, and builders for smooth closings
- Maintain up-to-date CRM and transaction tracking systems
- Provide consistent administrative support and client communication
Marketing & Branding Support
- Coordinate listing preparation: staging, photography, and videography
- Create accurate and optimized MLS listings
- Design and distribute marketing materials (brochures, flyers, social media graphics, emails)
- Manage open house scheduling and showing instructions
- Collect and manage client testimonials and reviews
- Support social media scheduling and digital content coordination
Requirements
- Real estate coordination, marketing, or administrative experience preferred
- Being a RECO Registrant (or being a registered real estate agent) is an asset
- Strong written and verbal communication skills
- Familiarity with MLS, CRM platforms (e.g., Follow Up Boss), and digital tools
- Proficiency in Google Workspace and Canva or other design platforms
- Excellent organizational and time management skills with the ability to manage multiple tasks simultaneously.
- Strong administrative capabilities, including proficiency in office software and communication tools.
- Effective communication skills, both verbal and written, are essential for this role.
