We’re currently looking for a highly organized and proactive Administrative & Scheduling Coordinator to support our Mitigation Manager, oversee fleet and compliance tasks, and help ensure smooth daily operations.
Key Responsibilities:
- Work closely with the Mitigation Manager to schedule crews, coordinate jobs, and support field operations
- Maintain up-to-date compliance documentation (daily documentation, training records, health & safety requirements)
- Assist with fleet coordination including vehicle maintenance tracking, and scheduling service appointments
- Perform administrative tasks such as data entry, document organization, and internal reporting
- Liaise with clients and team members to ensure timely communication and job follow-ups
- Support general office functions as needed
Qualifications:
- Proven experience in an administrative, scheduling, or operations support role
- Strong organizational and time management skills
- Excellent communication skills (both verbal and written)
- Proficient with Microsoft Office (Word, Excel, Outlook) and general office systems
- Ability to multitask in a fast-paced environment
- Experience in restoration, construction, or field service industries is an asset
- Valid driver’s license is a plus (for occasional vehicle tasks)
