We are seeking a highly organized, proactive, and detail-oriented Operations Coordinator to join our growing team. This role plays a critical part in ensuring smooth day-to-day operations across scheduling, workforce deployment, client coordination, and internal reporting. You’ll be a key player in maintaining service excellence and supporting operational growth across multiple client accounts and locations.
Key Responsibilities:
1. Workforce Coordination & Scheduling
- Manage scheduling of crew for client work orders (AM/PM/Night shifts).
- Track and confirm associate availability daily and match to job requirements.
- Coordinate replacements in case of absences or last-minute changes.
2. Client & Associate Communication
- Serve as the first point of contact for associates and clients regarding shift assignments, schedule changes, and on-site queries.
- Maintain strong client relationships and ensure timely updates on deployments or delays.
3. System & Document Management
- Ensure all associate data (documents, compliance, certifications) are updated and organized in the internal system
- Maintain accurate shift reports and ensure reporting compliance by the team.
4. Operational Efficiency
- Identify and resolve scheduling or on-site issues promptly to avoid service disruptions.
- Support the Operations Manager in tracking KPI metrics, shift coverage, and incident reporting.
5. Administrative Support
- Assist with onboarding new associates and ensuring all required paperwork is completed.
- Support invoice preparation by validating work records and approvals.
- Contribute to weekly and monthly operations reporting and documentation.
Qualifications:
- 2+ years of experience in operations, logistics coordination, or workforce management (staffing industry experience preferred).
- Proficient in MS Excel, Google Sheets, and cloud-based scheduling tools.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to work evenings or weekends occasionally as per operational needs.
- Strong problem-solving and decision-making skills.
Preferred Attributes:
- Experience with CRM or workforce management tools.
- Bilingual abilities (English + Punjabi/Hindi) are an asset.
- Familiarity with logistics or warehousing industry workflows.
Working Hours:
Monday to Friday, 9:00 AM – 5:30 PM (Some flexibility required based on shift schedules and client needs)
