Job Summary
As a Front Desk Agent, you will be the first point of contact for our guests and play a vital role in delivering excellent service. You’ll be responsible for creating a welcoming atmosphere, managing front desk operations, and ensuring a smooth check-in/check-out process. Your professionalism, attention to detail, and friendly demeanor will set the tone for a positive guest experience.
Key Responsibilities
- Greet and welcome guests with a professional, positive attitude
- Perform check-in/check-out procedures efficiently
- Manage phone calls, emails, and online inquiries
- Accurately handle reservations, modifications, and cancellations
- Book group reservations, create/manage group blocks, and coordinate details with group organizers
- Reconcile reservations from Booking.com, Expedia, and other OTAs to ensure accuracy in the PMS
- Address guest questions, concerns, and requests promptly and courteously
- Process payments, refunds, and billing adjustments; ensure accuracy in handling cash and credit transactions
- Coordinate wake-up calls and special guest requests
- Maintain front desk and lobby cleanliness; replenish coffee station and guest amenities
- Monitor lobby activity and respond promptly to guest needs
- Create daily cleaning list for housekeepers and update them on room status changes
- Communicate effectively with housekeeping and maintenance teams regarding room status, repairs, and urgent concerns
- Review and document shift handover notes for smooth daily operations
- Maintain accurate lost and found records
- Assist with basic administrative duties and support new staff training during onboarding
- Uphold hotel policies, procedures, and Choice Hotels brand standards
- Perform other duties as assigned
Preferred Qualifications & Skills
- Previous hotel front desk, hospitality, or customer service experience required
- Knowledge of Property Management Systems (PMS); Choice Hotels’ PMS experience is a strong asset
- Strong communication and interpersonal skills with a guest-first mindset
- Professional appearance and courteous, reliable attitude
- Proficient in computer operations; experience with POS terminals an asset
- Ability to multitask, prioritize, and remain calm in a fast-paced environment
- Proactive problem-solver and collaborative team player
- Knowledge and experience working with third-party travel websites/portals such as Booking.com, Agoda, Expedia, CLC Lodging, and their affiliates from the hotel’s side
