We are seeking a dedicated and organized Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Responsibilities
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage multi-line phone systems, directing calls appropriately and taking messages when necessary.
- Schedule, confirm, and manage appointments using Jane and Universal software
- Handle direct billing for MVA (Motor Vehicle Accident) claims and other insurance providers.
- Collaborate with therapists and healthcare staff to ensure a smooth workflow.
- Perform data entry tasks accurately, maintaining up-to-date records in our systems.
- Handle filing and organization of documents to ensure easy access to information.
- Provide clerical support including typing, proofreading, and preparing correspondence.
- Utilize Microsoft Office Suite and Google Workspace for various administrative tasks.
- Assist with bookkeeping duties as needed, including managing invoices and payments.
- Maintain a clean and organized front desk area to create a welcoming environment.
- Support team members with administrative tasks as required.
Requirements
- Minimum 1-2 years of experience working in a rehabilitation or healthcare clinic.
- Proficiency in Jane and Universal software
- Knowledge of MVA and insurance direct billing procedures
- Proficient in Microsoft Office applications (Word, Excel, Outlook) and Google Workspace.
- Strong computer skills with the ability to learn new software quickly; familiarity with QuickBooks is advantageous.
- Excellent customer service skills with a professional demeanor and phone etiquette.
- Strong organizational skills with the ability to multitask effectively under pressure.
- Experience with data entry and clerical work is essential.
- Ability to type accurately at a reasonable speed; attention to detail is crucial for proofreading tasks.
Job Types: Full-time, Part-time
Pay: $17.20-$26.10 per hour
Expected hours: 20 – 30 per week
Experience:
- rehabilitation or healthcare clinic: 1 year (preferred)
- MVA Billing: 1 year (preferred)
