The Facilities Maintenance Supervisor will be responsible for coordinating all Branch general and property maintenance in addition to ensuring the timely delivery of system-wide distribution of library materials and supplies for VIRL branches.
Under the supervision of the Divisional Manager, Facilities, the Facilities Maintenance Supervisor is accountable for executing highly diversified duties to troubleshoot and ensure that building service contracts and maintenance to all facilities are predictive, preventative and timely including, but not limited, to branch furniture and equipment, heating, ventilation, and air conditioning, electrical, roofing and mechanical systems and equipment. This may also include responsibility for the upkeep and preservation of designated Branch landscaping, custodial services, utility management, and snow removal.
As the first point of contact, this position is responsible for management of assigned contracts, fleet management and terms and conditions of leases working in consultation with all levels of the organization for the maintenance, repair, renovation and replacement of library owned and leased spaces.
The Facilities Maintenance Supervisor also provides ongoing management of courier contracts, including reconciliation of manifests. In consultation with internal stakeholders, the Facilities Maintenance Supervisor also recommends delivery schedules and oversees adherence to those schedules.
Your progression in your career will have provided you with experience and skills including the following:
- Directing independent and dependent contractors ensuring that projects are on target and within the scope of the initial contract, including timeline and budgetary requirements.
- Responsible for monitoring, maintaining and responding to escalated Facilities requests. This includes supporting the Facilities Support Clerk in assessing and prioritizing facilities related issues.
- Assuming responsibility for all RFPs for services related to maintenance contracts, and minor and major renovation requests of branches. Including coordinating and conducting initial RFP site meeting to identify requirements to bidders.
- Providing recommendations in all aspects of building maintenance requirements for all new construction, renovations or updates to current systems.
- Working with Branch staff, building owners, and service contractors to ensure regulatory compliance and adherence with established VIRL and landlord requirements for any construction, renovation or ongoing maintenance.
- Ensuring that the delivery of library materials and supplies for VIRL branches are well-organized and efficient business processes, including the handling of incoming and outgoing materials.
Required Education and Experience:
- Completion of a two-year diploma in Business Administration, Business Operations Management, or related discipline or an equivalent combination of education and experience may be considered.
- Building Officials’ Association of BC (BOABC) level 1 Certification considered an asset.
- Minimum of five (5) years related work experience, preferably in facilities maintenance or property management with escalating responsibilities.
- Demonstrated supervisory experience, preferably in a unionized environment.
