About Us
We are a trauma-focused therapy clinic based in Vancouver, BC, offering compassionate, evidence-based care. Our growing team of therapists is supported by a responsive and organized virtual administrative team, and we are now looking for an in-person Evening Operations & Client Care Coordinator to round out our support across hours and offer evening in-person admin presence as we move into a new clinic space.
Position Overview
We are seeking a reliable, detail-oriented, and tech-savvy individual to join our clinic for evening shifts (Monday - Thursday, 5:15 - 8:15pm PT). This role is ideal for someone who is comfortable being the on-site point person after traditional business hours, and enjoys both behind-the-scenes systems work and light client-facing support. This is an in-person position located at our clinic on East 10th Avenue and Commercial Drive in Vancouver.
Key Responsibilities
Administrative Support
- Monitor and respond to client emails/inquiries during evening hours
- Follow up with prospective clients who have not yet booked or re-booked
- Assist with client coordination and rescheduling tasks
Operations & Systems Support- Assist with updating systems documentation (SOPs, workflows)
- Conduct regular systems QA checks: Identify areas for improvement in UX, scheduling, communication, and internal processes
- Support with blog and newsletter copy writing
- Support in the fostering of referral networks
Client Care & On-Site Support
- Welcome and let in clients arriving for evening therapy sessions after the building locks at 6:00pm
- Ensure waiting areas and staff areas remain tidy and stocked
- Serve as a calm and professional presence at the clinic front desk during evening hours
About You
- You’re based in Vancouver, BC and available to work on-site evenings, Monday – Thursday (with the possibility of expanding your hours if it aligns in the future)
- You’re highly organized and comfortable working independently
- You enjoy data, systems, and fine-tuning processes for efficiency
- You’re warm, professional, and grounded in how you interact with clients and staff
- You’re comfortable using the following tools: Google Workspace, Jane, Slack, spreadsheets, and the CRM software Bigin by Zoho
- You care deeply about creating a trauma-informed, welcoming experience for all
- You have a background in healthcare admin, operations, or mental health settings
- You are interested in growth into a larger operations or clinic leadership role over time

- Hours: Monday to Friday, 5:15–8:15pm PT (12 hours/week to start)
- Location: On-site at our Vancouver clinic
- Compensation: $22-$24/hour depending on experience
- Start Date: October 1st, 2025 - flexible
