Job Title: Contract Compliance, Coordination, & Reporting Specialist

Reporting to the Controller - Staffing, the Contract Compliance, Coordination, & Reporting Specialist plays a critical role in ensuring that the Bayshore Staffing divisions meet all contractual obligations across a diverse portfolio of client agreements. This role is responsible for cataloguing contract requirements, tracking key dates and deliverables, managing rate escalations, and ensuring timely reporting and compliance with deliverables as outlined in each unique client contract. The Specialist will liaise closely with the Bayshore Staffing operational & financial teams to flag upcoming deliverables and ensure all commitments are met in accordance with each unique contract.
DUTIES & RESPONSIBILITIES:
The responsibilities of this role include, but are not limited to:
- Ensure all reporting requirements are completed and submitted to clients as per contract terms and conduct regular audits of contract compliance and escalate risks or non-compliance issues.
- Maintain a centralized system to catalogue and track all contract terms, deliverables, and key dates.
- Interpret contract language and provide guidance to internal stakeholders.
- Monitor rate escalation clauses and ensure timely application of increases.
- Develop and maintain dashboards or trackers for contract performance and compliance.
- Prepare internal reports summarizing contract obligations, upcoming deliverables, and compliance status while working with all required departments to complete
- Preparation of client-facing reports and documentation, complying with contract deliverables
- Support the development of standardized procedures for contract tracking, compliance and identify gaps in current contract management processes and recommend improvements.
CANDIDATE REQUIREMENTS
- 3+ years of experience in contract administration, compliance, or project coordination, preferably in a healthcare or staffing environment.
- A diploma or degree in Business Administration, Legal Studies, Healthcare Administration, or a related field is required.
- Strong understanding of contract structures, legal terminology, and compliance requirements.
- Experience working with cross-functional teams and managing multiple priorities.
- Proficiency in Microsoft Office Suite and contract management tools or databases.
- Additional certifications in contract management or project coordination are considered an asset.
