Tadpool Real Estate is seeking a Property Administrator on behalf of a reputable real estate company with a national portfolio of retail, office, and industrial assets. This full-time opportunity is based in Laval, QC, and offers a dynamic role supporting property management operations across multiple commercial sites.

Position Overview
Reporting to the Property Manager, the Property Administrator will support the day-to-day management of the property portfolio. This includes liaising with tenants, managing lease and financial documentation, supporting collections, and assisting in vendor coordination. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced, service-focused environment.
Key Responsibilities
- Act as the primary contact for tenant inquiries and coordinate timely follow-ups
- Maintain accurate tenant records, including contact and insurance details
- Support office functions such as filing, supply management, and reception tasks
- Track rent payments, assist with collections, and update monthly AR reports
- Prepare key sections of the monthly management report (AR, expenses, sales)
- Process invoices, purchase orders, and vendor setups in coordination with accounting
- Issue late notices and assist with tenant communications regarding delinquencies
- Organize documents for audits and support year-end reconciliations
- Assist with marketing initiatives and update digital property materials
- Maintain organized digital files and support the property team with ad hoc tasks
Desired Candidate
- Bilingual in French and English (written and spoken)
- Demonstrated work ethic and ability to learn new responsabilities
- Demonstrated organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Self-starter with sound judgment and strong time management
- Familiarity with commercial leasing and property operations is a plus but not required

Work Arrangement

Pay: $55,000.00-$65,000.00 per year
