Overview
We are seeking a dedicated and organized individual to join our admin team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Duties
- Greet and assist clients and visitors in a friendly and professional manner.
- Manage phone calls, texts and emails; directing calls appropriately and taking messages as needed.
- Handle data entry tasks accurately, ensuring all information is up-to-date in our systems.
- Maintain filing systems and organize documents for easy access.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Utilize Microsoft Office and Patient Booking/Billing Software (Jane) for various administrative tasks.
- Direct-billing to insurance plans and taking payments.
- Maintain a clean and organized clinic and front desk area to create a welcoming environment.
- Performing open/close duties and maintaining laundry throughout the day.
Requirements
- Previous experience in a front desk or administrative role is preferred.
- Strong customer service skills with a focus on client satisfaction.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with QuickBooks is a plus.
- Excellent typing skills with attention to detail in data entry tasks.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Knowledge of phone etiquette and experience.
- Experience in a medical or spa office setting is highly desirable but not mandatory.
- Ability to work independently as well as part of a team in a dynamic environment.
