The Undergraduate Science Centre within the Faculty of Science is currently seeking a Full-time Temporary Relief Careers & WIL Advisor for approximately 18 months.

Reporting to the Senior Specialist, Work Integrated Learning (WIL) and Careers, the Careers and WIL Advisor, the incumbent must be able to represent the Faculty of Science Careers, Co-op and Internship Programs by providing coaching and advice to students, faculty, and employers. The Career and WIL Advisor performs highly complex functions that require a high level of concentration and can result in a high impact of error. In dealing with complex issues, the incumbent is expected to demonstrate strong communication, team, and customer service skills, and to be resourceful, innovative and creative in problem solving. This position works in an environment that demands efficient time management, experiences a high volume of work with strict deadlines, and requires strict adherence to confidentiality.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Support graduate and undergraduate students and all employers participating in work integrated learning experiences in the Faculty of Science.
  • Supports graduate and undergraduate Faculty of Science students from the inquiry stage to job securing process of the WIL programs.
  • Collaborating with the Specialist, WIL Programs and Student Engagement to market and promote the Science Co-op Program to prospective students through orientations, intake interviews, information sessions, career fairs, classroom visits.
  • Assesses students' academic background to ensure they meet program requirements and/or prerequisites.
  • Participate in Career events and WIL working groups, including participating in program promotion during Open House and other events.
  • Tracks and reviews work term and other requirements, provides follow-up with students, and escalates any work term issues to the Specialist, WIL Programs and Student Engagement.
  • Provides advising to all Science students regarding job search strategies, resume and cover letter review, interview support and general career advising.
  • Assists with the facilitation of pre-employment workshops, including the development of materials and alternate delivery methods, as necessary. Support the recruitment and builds relationships with potential employers for WIL opportunities.
  • Guides employers through student application and hiring processes.
  • Develops profiles of degrees, student skills, knowledge, and capabilities for the purpose of employer information.
  • Develop positive relationships with external stakeholders including public, private, and non-profit, specifically networking and relationship management with industry HR professionals and hiring managers.
  • Advise supervisors and HR representatives on the development of job descriptions with suitable opportunities, and in developing selection criteria appropriate to the jobs.
    Advise employers and students of funding opportunities.
  • Communicates with students, staff, faculty, and external partners via the shared team email accounts.
  • Working with the Administrative Coordinators and Specialist, WIL Programs and Student Engagement, processes admissions to the WIL programs, including communication of admission decisions, creation of work permit letters and follow up.
  • Review, approve, and monitor job postings for their suitability for work term placements.
  • Authorize independently found positions for participation in the various programs.
  • Maintains accurate and student current records (Elevate (Orbis), PeopleSoft).
  • Maintain accurate statistics on students and placements; updates external databases.
  • Updates and maintains Science Careers website and other system such as D2L, Elevate and PeopleSoft.
  • Works collaboratively with the Specialist, WIL Programs and Student Engagement to develop timelines and schedules for program processes such as workshops, information sessions, meetings, events, etc.
  • Build awareness of WIL programs available to undergraduate and graduate students within the Faculty of Science and liaise with other academic/service units internally and externally (e.g., MITACS, SWPP, Transformative Talent Internship, etc.).
  • Assists with implementation on new program strategies.
  • Enhance growth in personal and interpersonal effectiveness; professional development encouraged.

Qualifications / Requirements:

  • A post-secondary credential (degree, certificate, diploma) is required or equivalent experience.
  • Minimum 3 years of experience within student affairs or program advising career development, education or recruitment experience is required.
  • Career Development Certificate or similar is considered an asset.
  • Experience working in a large, dynamic team with proven personal effectiveness and productivity is required.
  • Proven organizational skills, multitasking and high attention to detail required.
  • Excellent interpersonal and communications skills required.
  • Experience developing and providing presentations for students is an asset.
  • Demonstrated commitment to exceptional, proactive student service.
  • Demonstrated understanding of career-related issues, experiential or work-integrated learning, knowledge of industry job market and associated trends to target industries and employers is an asset.
  • Ability to think critically and creatively under pressure while exercising good judgement and discretion is required.
  • Demonstrated ability to be resourceful, creative, innovative, and flexible is required.
  • The ability to work independently to tight timelines, maintain confidentiality and deal effectively with overlapping and changing deadlines is required.
  • Excellent computer skills including experience using technical advising tools (such as student information management systems like People Soft or Banner, Degree Audit software and MS Office Suite (including Word, Outlook, PowerPoint, and Excel) is required.
  • Experience with the Orbis platform is an asset.
  • In-depth knowledge of academic calendar including the ability to interpret policies, procedures and regulations would be an asset.
  • Knowledge of university policies and procedures associated with the portfolio supported is an asset.
  • Ability to build relationships to accomplish goals with diverse groups within and outside of the Faculty of Science is essential.
  • Thorough knowledge of University policies, procedures and requirements including the Freedom of Information and Protection of Privacy Act is essential
