We are seeking a detail-oriented and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong organizational skills and a solid background in accounting and bookkeeping. This role is vital in ensuring that our financial processes run smoothly while providing administrative support to the team.
Responsibilities
Office Manager/Bookkeeper (Full-Time) — Burnside, Dartmouth, NS

What you’ll do
- Own full-cycle bookkeeping in QuickBooks (QBO preferred): A/P, A/R, invoicing, bank/credit-card reconciliations, journal entries.
- Prepare HST returns, CRA payroll remittances, and support WCB NS reporting.
- Assist with payroll processing and year-end prep (T4 working papers for the accountant).
- Manage Payworks for payroll
- Manage demo program. Our entire demo team will report to you.
- Manage Events Co-oridnator (new position)- we are hiring for.
- Maintain vendor & customer records; manage credit applications and light collections.
- Create PO's, manage all incoming inventory with assistant of the warehouse team lead.
- Support inventory & COGS accuracy (PO matching, landed cost checks, margin reports).
- Produce weekly/monthly financial summaries for leadership; flag variances and opportunities.
- Help improve simple processes & controls as we scale.
What you bring
- Proficiency in QuickBooks (must-have) and solid Excel/Google Sheets skills.
- 2–4+ years of bookkeeping experience (distribution/CPG/manufacturing an asset).
- Accuracy, confidentiality, and strong follow-through; able to work independently and in a fast-moving team.
- Nice to have: experience with inventory systems, EDI/portals, or Shopify/Lightspeed.

Skills

- Strong understanding of accounting principles, payroll processing, and bookkeeping practices.
- Experience with accounts payable, accounts receivable, account reconciliation, and bank reconciliation.
- Excellent analytical skills with the ability to conduct budgeting and account analysis effectively.
- Strong organizational skills with attention to detail to manage multiple tasks simultaneously.
- Ability to communicate effectively with team members and external stakeholders.
