We are seeking a reliable, organized, and client-focused Assistant Office / Reception Assistant Manager to join our team. This position combines front desk reception duties with management-level responsibilities, supporting our Management Team in ensuring the smooth daily operations of our centre.
Position Summary
The Assistant Office / Reception Assistant Manager plays a key role in creating an exceptional client experience while maintaining efficient business operations. This individual will act as the lead receptionist while also supporting the management team with scheduling, team coordination, marketing, event support, and facility oversight.
Key Responsibilities Operational Support & Procedure Management
- Act as second-in-command to the Centre Manager, supporting daily operations.
- Create and manage monthly reception schedules, coordinating staff availability and coverage.
- Oversee reception and movement desk performance, providing training, coaching, and task direction.
- Process legal documentation requests (e.g., SOAP notes, client records).
- Maintain and improve operational systems, procedures, and staff communications.
Front Desk & Client Service
- Provide reception duties including client check-ins, bookings, payments, and direct billing.
- Manage the main client email inbox, ensuring professional and timely responses.
- Maintain an organized email system and oversee staff email communications.
- Process online retail purchases, coordinate shipping/deliveries, and maintain office supply inventory.
- Ensure a warm, professional, and welcoming environment for all clients.
Marketing & Communications
- Monitor and respond to social media messages and reviews.
- Create and schedule at least 3 engaging posts weekly across platforms.
- Maintain a content calendar for campaigns, events, and promotions.
- Assist with content creation using Canva (photos, videos, promotional materials).
- Update website content and draft newsletters for services, events, and promotions.
- Review, refresh, and order printed marketing materials as needed.
Event Coordination & Support
- Assist in planning and coordinating workshops, retreats, and training weekends.
- Work with vendors for branded merchandise, signage, and event materials.
- Provide on-site event support as needed.
Team & Department Coordination
- Conduct weekly check-ins with department leads (Reception, Spa, Health, Movement).
- Support managers with administrative tasks to allow them to focus on client care.
- Oversee yoga/fitness schedules in Mindbody, ensuring accuracy and consistency.
- Manage room rentals and workshops, updating schedules in Mindbody and Facebook.
- Print/post in-house marketing for workshops and coordinate sub coverage for instructors.
Facility Oversight
- Perform daily walk-throughs to identify and address facility needs.
- Ensure cleanliness and organization of client-facing spaces.
- Maintain professional brand presentation through updated signage and displays.
Schedule & Compensation
- Full-time position – weekends required (Saturday & Sunday), one evening shift, and two daytime shifts weekly (flexible).
- $17–$20 per hour to start, based on experience.
