The Administrator – Fulfillment is responsible for managing and executing a variety of time-sensitive administrative and mailroom-related tasks to support internal departments, clinics, and external clients. This role ensures the accurate and timely processing of mail, packages, and administrative documents, while maintaining a high level of organization and communication across multiple channels.
Key Responsibilities:
Document Management:
- Process and manage incoming and outgoing correspondence
- Handle document distribution, filing, and archiving
- Maintain accurate digital and physical filing systems
- Manage sensitive and confidential information
- Coordinate document preparation and distribution
Administrative Support:
- Provide general administrative support to various departments
- Process and fulfill internal/external requests
- Respond to inquiries from stakeholders
- Maintain accurate tracking and recording systems
- Schedule and coordinate meetings as needed
Inventory and Supply Management:
- Monitor and maintain office supplies inventory
- Process supply requests from various departments
- Coordinate with vendors for orders and deliveries
- Track and reconcile supply expenses
- Manage relationships with suppliers
Systems and Software:
- Utilize various business software applications
- Maintain electronic filing and database systems
- Process data entry and verification in different systems and generate reports
- Support basic technical troubleshooting
- Learn and adapt to new software systems as needed
Cross-functional Support:
- Collaborate with different departments to ensure efficient operations
- Provide backup support for team members
- Coordinate with external vendors and service providers
- Support special projects as needed
