About the Role
We’re looking for a proactive, organized, and detail-oriented Administrative Assistant to help keep our business running like a well-oiled machine. You’ll handle day-to-day administrative tasks, coordinate schedules, communicate with families and tutors, and keep our processes on track.
This is not a “just file paperwork” job — you’ll be a vital support to our leadership team, with opportunities to take ownership of projects and help improve how we work.
Key Responsibilities
- Manage email inboxes and respond to client inquiries in a timely, professional manner
- Schedule and coordinate tutoring sessions, meetings, and events
- Maintain accurate records in our CRM and project management tools
- Support recruitment, onboarding, and scheduling of tutors
- Draft and format documents and reports
- Assist with payroll preparation and invoice tracking
- Assist in the coordination of special projects (e.g., events, outreach)
- Maintain confidentiality of student and business information

Requirements
- 1–2 years of administrative, office, or coordination experience (education sector a plus)
- Proficiency with Google Workspace (Docs, Sheets, Drive) and email platforms
- Confidence with scheduling tools or CRMs
- Strong time management and attention to detail
- Reliable internet and ability to complete tasks remotely
Nice to Have
- Personal vehicle and drivers’ licence is a plus, as you may be asked to commute within the city on occasion
- Experience in education, tutoring, or child-focused organizations
- Bookkeeping or invoicing experience
