We are seeking a dedicated Service Appointment Coordinator to become a valuable part of our team! The Service Appointment Coordinator is crucial for ensuring a seamless experience in the service department, from scheduling appointments to post-service follow-up.
Main Duties and Responsibilities:
- Schedule Service Appointments: The Service Appointment Coordinator is responsible for handling incoming customer requests for service appointments. This includes scheduling vehicle maintenance, repairs, and other services through phone calls, emails, or online requests.
- Customer Communication: Maintain communication with customers regarding their service appointments. This involves confirming appointments, sending reminders, and answering any inquiries customers may have about their vehicle’s service or the appointment process.
- Coordinate with Service Advisors and Technicians: Work closely with service advisors and technicians to ensure that appointments are scheduled efficiently, minimizing downtime for customers and maximizing service department productivity.
- Customer Data Entry and Record Keeping: Input and maintain accurate customer and vehicle information in the dealership’s system.
- Follow-Up with Customers: After a service visit, the coordinator may follow up with customers to ensure their satisfaction and address any additional service needs.
- Upselling Services: When communicating with customers, the coordinator may offer additional services, promotions, or vehicle maintenance packages.
- Handle Cancellations and Rescheduling: Manage appointment changes, including cancellations or rescheduling, and notify relevant service personnel when needed
- Customer Service: Ensure customers have a positive experience when scheduling their appointments. This includes being polite, helpful, and attentive to their needs, ensuring they feel valued and appreciated by the dealership.
- Address Customer Complaints: If a customer has any concerns or complaints about their appointment or service experience, the coordinator is responsible for addressing these issues or directing them to the appropriate department for resolution.
The Ideal candidate will possess these skills and attributes:
- Communication Skills: Excellent verbal and written communication skills for effective interaction with customers and team members along with following scripts.
- Organizational Skills
- Technical Proficiency: Proficiency in using CRM software and other relevant tools.
- Problem-Solving Skills: Ability to handle and resolve customer issues in a professional manner.
- High Volume Phone Contact: Capable of managing a substantial call volume, handling a minimum of 60 calls per day.
- Adaptability and Drive: Quick learner who thrives on challenges, exhibiting strong determination and motivation.
- Positive Attitude and Outgoing Personality: Possesses an outgoing, positive demeanor, projecting a ‘smile’ through phone interactions; fully understands and applies best practice guidelines for outbound and inbound calls and emails.
