About Us
Southwood Golf and Country Club is looking for a dedicated Office Administrator & Membership Services Assistant to manage member relations and provide crucial administrative support. This role involves daily interactions with members, handling membership accounts, and supporting financial administration. The ideal candidate will have strong organizational skills, a customer-focused mindset, and proficiency with POS and accounting software.
Key Responsibilities
- Front Desk and Member Interaction
- Greet visitors, answer calls, provide information, and direct inquiries to the appropriate departments.
- Respond to member email inquiries about the club, membership options, and account details.
- Membership Services
- Manage membership accounts, process requests for updates or changes, and assist with account inquiries.
- Organize and maintain all membership documentation.
- Financial Support
- Check, sort, and open mail; distribute mail to relevant departments.
- Process payments from members at the POS, deposit cash and checks, and apply EFT payments in Jonas software.
- Mail out checks for payment of invoices and assist with inputting invoices.
- Reporting and Record-Keeping
- Run end-of-day POS reports, create daily cash summaries, and provide financial documentation to the Controller.
- Assist in applying membership dues and running monthly statements.
- Communications
- Regularly communicate with members through newsletters, emails, and social media updates.
- Manage onboarding programs for new members, ensuring a smooth transition into the club.
Collaboration & Teamwork:
- Work closely with the General Manager and department heads to align member services with overall club goals.
- Liaise with golf, food & beverage, and events teams to enhance the member experience.
Qualifications
- Strong interpersonal and communication skills.
- Experience with POS systems; familiarity with Jonas is a plus.
- Detail-oriented and organized, with a focus on customer service.
- Prior administrative experience preferred, ideally in a service or membership-based environment.
- Ability to build and maintain relationships with diverse groups of members.
- Proficiency Microsoft Office, and social media marketing.
- Self-motivated, goal-oriented, and able to work independently or as part of a team.
Job Type: Full-time
Pay: $42,500.00-$45,000.00 per year
