The Office Administrator plays a crucial role in the smooth and efficient operation of our daycare, supporting both the administrative and operational needs of the center. Key Responsibilities:
Administrative Support:
- Manage general office operations, including answering phones, responding to emails, and managing correspondence.
- Maintain accurate and up-to-date child enrollment records, waitlists, and attendance logs.
- Process invoices, track payments, and manage basic bookkeeping using QuickBooks Online and other softwares.
- Assist with the preparation of various reports and documents.
- Maintain organized filing systems (digital and physical).
- Order and manage office and classroom supplies.
- Coordinate and schedule appointments for tours, parent meetings, and staff meetings.
Parent/Guardian Communication:
- Serve as the primary point of contact for parents and guardians regarding administrative inquiries, enrollment, and billing.
- Assist with the onboarding process for new families, including providing information and completing necessary paperwork.
- Communicate important updates and announcements to parents.
Operational Support:
- Assist with staff scheduling and record-keeping as needed.
- Support the Director with various administrative tasks and special projects.
- Ensure the office area is tidy, welcoming, and well-maintained.
- Assist in maintaining compliance with all licensing regulations and health and safety standards.
- Handle sensitive and confidential information with discretion.
Customer Service:
- Provide a positive and welcoming experience for all visitors, including parents, children, and vendors.
- Address inquiries and concerns professionally and efficiently.
Qualifications:
- Proven experience (e.g., 2+ years) in an administrative or office management role, preferably in a daycare, school, or childcare setting.
- Fluency in English is required, along with proficiency in other languages commonly spoken in our community .
- High school diploma or equivalent required; associate's or bachelor's degree in business administration, early childhood education, or a related field preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
- Experience with childcare management software is a strong asset.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
- A positive attitude, strong work ethic, and a genuine love for children.
- Ability to work independently and as part of a team.
- Must be able to pass a criminal record check and provide .
- Current First Aid and CPR certification (or willingness to obtain).
Job Type: Full-time
Pay: $21.00 per hour
