Job Summary:

The Human Resources Administrative Assistant assists the Human Resources department with day-to-day administration and support with various initiatives and projects.

Key Responsibilities:

  • Provide administrative assistance to HR department, including but not limited to scheduling meetings, preparing correspondence and taking meeting minutes.
  • Assist with maintaining employee records in the HRIS system including collecting and uploading employee photos.
  • Oversee the organization and archiving of employee documents, ensuring secure and accessible record-keeping.
  • Upload documents, training certificates and email correspondence to employee files.
  • Verify crew documentation and certifications submitted by employees through Algoma Crew Documents, flagging any discrepancies or expiries to Fleet Personnel Coordinators or Managers.
  • Receive and track shipboard performance documents in HRIS as well as send documents through appropriate workflow.
  • Prepare and issue employment-related documents, such as employment confirmation letters and visa request letters.
  • Assist with organizing and supporting events and activities including but not limited to, department, community involvement and recruitment initiatives.
  • Assist in guiding employees through various HR processes as well as related queries and requests in a professional and helpful manner.
  • Monitor general department email inboxes including responding where appropriate and ensuring appropriate distribution to others in the department.
  • Respond to travel agent inquiries related to employee details.
  • Assist with booking department travel and submitting related expenses.
  • Assist with research as well as data collection and analysis.
  • Assist with vendor set up and cheque requisitions.
  • Act as back up to others in the department particularly Fleet Personnel.
  • Along with the other admins, assist with reception coverage and associated duties.
  • Oversee office services, inventory and procurement of supplies.
  • Sorts and distributes both incoming and outgoing mail, including deliveries, couriers and faxes.
  • Other general office duties as assigned.


Qualifications:

  • High school diploma or equivalent is required.
  • A post-secondary education with a concentration in Office Administration, Business, Human Resources or Maritime Studies and/or 1-3 years related experience.
  • Ability to thrive in a diverse team environment while also having strong initiative and being able to work independently.
  • Self-motivated with excellent organizational, planning and prioritization skills.
  • Ability to maintain absolute confidentiality, discretion and diplomacy on all business matters.
  • Detail orientated with a focus on accuracy and quality.
  • Ability to remain calm under pressure and to meet deadlines and prioritize tasks.
  • Highly skilled in Microsoft Office, particularly Excel, Word and PowerPoint.
  • Strong communication skills (verbal and written).
