The Otipemisiwak Métis Government is recruiting for an Administrative Coordinator to support the Environment and Climate Change team. Reporting to the Director of Environment & Climate Change (ECC), this position will be responsible for providing event coordination support and ensuring smooth day-to-day operations of the ECC department. The successful candidate will handle office tasks; schedule and coordinate department events; provide polite and professional assistance via phone, mail, and email; assist in implementing, enhancing, and documenting effective filing, finance, logistics, administrative and resource management processes; and be a helpful and positive presence in the workplace. The Administrative Coordinator will be a master multi-tasker with excellent communication skills and an upbeat attitude, that is able to make decisions independently and work intuitively to support the completion of the department’s goals and objectives in a professional and culturally appropriate manner.


Key Responsibilities

Administrative

  • Ensure that administrative and clerical duties are delivered in a timely and efficient manner.
  • Work cooperatively with all team members to support the achievement of work plan activities and actively participate in the department’s team meeting and planning sessions.
  • Enter and process invoices with accuracy.
  • Perform clerical functions such as receiving visitors, arranging conference calls, and scheduling meetings for department staff or designates.
  • Prepare and complete internal and external correspondence, including legal documents, forms, letters, reports, presentations, and other documents.
  • Suggest, develop, review, implement, evaluate, and maintain (new and existing) administrative procedures. Understand and adhere to policies and procedures.
  • Prepare, distribute, record, and appropriately file meeting agendas, recordings, and meeting minutes.
  • Order supplies for department programming and events.
  • Present a positive and professional image of the organization when interacting with employees, citizens, visitors, and other external stakeholders.
  • Maintain a high level of cultural sensitivity, professionalism, and confidentiality in all interactions and when handling sensitive documents.
  • Implement effective document filing methos for important and/or sensitive documents including contracts, contribution agreements, invoices, travel itineraries.
  • Assist in maintaining an organized, welcoming and efficient office environment.
  • Document important administrative processes. Draft and distribute communications such an office memos or emails to the department informing staff on administrative procedures as required.
  • Track effectiveness and efficiency of administrative tasks and recommend enhancements to management.

Event Coordination and Logistics

  • Plan, coordinate and deliver culturally grounded and environmentally conscious events such as gatherings, workshops, meetings, and tradeshow tables.
  • Create spaces for meaningful connection between ECC staff, community, and other stakeholders, to ensure a strong sense of community and collaboration to guide the programs and services of the ECC department.
  • Manage all event logistics, including coordinating site visits, scheduling, venue selection, catering, transportation, equipment, materials, permits, and accessibility needs.
  • Assist in writing event summaries, evaluation reports, and proposals for future funding or support.
  • Provide logistical support for the ECC Department's ongoing events and seasonal cycles of work.
  • Coordinate team travel including booking travel accommodations and transportation bookings.
  • Represent the ECC Department in office-wide event planning committees and perform related tasks.
  • Other duties as required or assigned.

Skills & Competencies

  • Recognized strength in supporting teams and providing administrative and clerical support to add to organizational capacity.
  • Proficient in Microsoft Office programs (including Word, Excel, and SharePoint).
  • Superior written and verbal communication skills, including professional email etiquette.
  • Strong planning and organizational skills, with an ability to organize and prioritize daily tasks and long-term objectives.
  • Excellent interpersonal skills, with the ability to build strong working relationships.
  • Ability to work independently as well as part of a team.
  • Ability to take initiative and be innovative in improving office and administrative procedures.
  • Willingness to learn and develop new skills.
  • Flexible and adaptable, with an ability to switch between multiple priorities.
  • Ability to work with and convey messages to different audiences.
  • Political and cultural sensitivity.
  • Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture, people, and values is an asset.

Qualifications

  • Administrative certificate/diploma or education in a related field is an asset. Other relevant training and experience is considered valid.
  • Minimum of two years of experience in an administrative, event coordination, community organizing, logistics, or similar role, preferably within a government, non-profit, or Indigenous organization.
  • Minimum two years of customer service experience required.
  • Knowledge and/or experience in environment, climate change, and sustainability is an asset.

Other Requirements

  • Ability to work regular office hours of Monday to Friday, 8:30am to 4:30pm, as well as occasional evenings and weekends.
  • Requirement to work in-office in Edmonton, Alberta.
  • Ability to travel throughout Alberta, if given notice.
  • Reliable transportation and a valid Class 5 Driver’s License.
