At Air Partners, we believe exceptional experiences start with exceptional people. As a Flight Coordinator, you’ll play a vital role in shaping the journey for our clients from start to finish. This role is fast-paced, detail-driven, and often high-pressure. You’ll need to be a confident problem solver, comfortable working independently and as part of a team.

This position blends operational coordination, logistics, and client service. It involves a great deal of computer-based work along with high-touch guest interaction. You’ll be working in a dynamic environment where each day brings something new.

We’re not just looking for experience. We’re looking for someone who is self-motivated, thrives under pressure, and is excited by the idea of making a difference—someone who is ready to Be Legendary.

A Day in the Life:

  • Act as the main point of contact for clients, providing responsive and polished service by phone, email, and in person
  • Create detailed quotes and custom itineraries that align with our service standards and client expectations
  • Schedule aircraft and assign crew in accordance with Transport Canada regulations
  • Coordinate all logistics for trips including customs clearance, ground transportation, catering, FBO arrangements, and slot confirmations
  • Support guest check-ins and departures in our private lounge, offering assistance with documentation, luggage, and refreshments
  • Track and monitor flights using software platforms, providing timely updates to clients and service providers
  • Maintain accurate flight records and prepare post-flight billing
  • Assume responsibility for the ELF program with diligence and precision and other administrative tasks
  • Work flexible rotating shifts including mornings, evenings, weekends, holidays, and on-call support

What We’re Looking For:

  • Flexible availability to support a rotating schedule
  • Minimum of 3 years of experience in a customer service role
  • Strong verbal and written communication skills in English
  • Proficiency in Microsoft Office 365 and comfort with learning new software
  • A diploma or degree in Business Administration, Travel and Tourism, Aviation, or Hospitality is an asset
  • A proactive, solutions-oriented mindset with strong troubleshooting skills
  • Ability to make quick decisions and adapt in real-time
  • Driven by excellence with a desire to keep learning and improving
  • A strong team player who can also work independently in high-stakes situations
  • Positive energy, professionalism, and a “take on the world” attitude
